Role Overview
An entertainment industry company in Glendale, CA is hiring an Administrative Assistant to provide dependable support to leadership teams in a fast-moving office environment.
Compensation
The pay rate for this assignment is $34.67 per hour.
Key Responsibilities
- Deliver daily administrative support to leaders while handling sensitive matters with a high degree of privacy and judgment.
- Coordinate calendars, arrange meetings, book conference rooms, and set up video meetings and Teams calls.
- Organize domestic travel and multi-city itineraries.
- Prepare, submit, and monitor expense reports, purchase orders, and other administrative paperwork.
- Write and refine emails and letters on behalf of leadership, and help assemble materials for meetings and presentations.
- Keep office supplies stocked and assist with purchase orders and vendor contract coordination.
- Create recurring reports and summaries, taking ownership of tasks and processes from beginning to end.
- Support new employee onboarding and serve as a helpful, approachable contact for questions about processes and the organization.
Requirements
- At least 3 years of experience in administrative support, office coordination, or a comparable role.
- Strong command of written and spoken communication, including professional email writing and document preparation.
- Ability to manage several priorities at once, meet deadlines, and adjust quickly when schedules shift.
- Comfort using Microsoft Office in a Windows-based environment, along with the ability to learn systems such as SAP Casual Buyer, SharePoint, Coupa, and Concur.
- Working knowledge of office equipment, computers, and telephone systems, plus strong organization and attention to detail.
- Ability to protect confidential and sensitive information with consistency, professionalism, and discretion.
