Responsibilities

  • Coordinate the day-to-day sales activities in the showroom and provide organized administrative assistance to Sales Consultants and the Sales Manager.
  • Prepare quotations, sales orders, proforma invoices, and delivery paperwork accurately and within required timelines.
  • Keep an up-to-date view of vehicle stock, allocation, and sales pipeline status in collaboration with the inventory team.
  • Monitor the time taken from booking to delivery and help remove issues that delay customer handover.
  • Maintain customer records, lead updates, and pipeline information in the CRM system.
  • Follow up on inquiries, bookings, test drives, and any outstanding documents needed to complete a sale.
  • Ensure customer data remains complete, accurate, and aligned with internal data standards.
  • Support communication with customers throughout the sales journey to help deliver a premium showroom experience.
  • Work with Finance on payment confirmations, deal approvals, and closing documentation.
  • Coordinate with Registration, Insurance, and Logistics teams to ensure deliveries are timely and compliant.
  • Partner with Aftersales and PDI teams to make sure vehicles are ready by the planned handover date.
  • Serve as the main coordination link between the showroom sales team and back-office support functions.
  • Prepare daily, weekly, and monthly reports covering bookings, deliveries, stock, and target progress.
  • Support forecasting, dashboard updates, and commercial reporting for the Sales Manager.
  • Keep CRM and ERP data accurate so management reporting remains reliable.
  • Track KPIs related to documentation turnaround, delivery timelines, and conversion performance.
  • Ensure all transactions follow company policies, brand standards, and KSA automotive rules.
  • Maintain proper records, audit readiness, and internal control compliance.
  • Support internal audits and brand inspections for showroom compliance.
  • Assist with promotional campaigns, showroom events, and customer engagement activities.
  • Help coordinate product launches, test drive events, and seasonal sales initiatives.
  • Support the preparation of customer-facing materials and overall showroom readiness.

Requirements

  • Bachelor’s degree in Business Administration, Sales, Marketing, or a similar discipline.
  • Diploma holders with substantial experience in automotive sales coordination may also be considered.
  • 1 to 4 years of experience in sales coordination, sales support, or dealership operations.
  • Experience in the automotive sector is strongly preferred.
  • Practical exposure to CRM systems, ERP platforms such as SAP, Oracle, Autoline, Kerridge, or similar tools, and sales reporting systems.
  • Familiarity with vehicle registration, insurance, and delivery procedures in Saudi Arabia is an added advantage.
  • Knowledge of automotive finance and insurance coordination is beneficial.
  • Strong organization and multitasking ability to handle a high volume of transactions.
