Role Overview
This 100% remote contract role supports talent acquisition operations for a major oil and gas organization. The position focuses on administrative, coordination, and compliance work across the hiring process, with an emphasis on accurate offer handling, candidate processing, system updates, reporting, and smooth collaboration with recruiters and hiring managers.
Compensation and Assignment Details
Pay is $28 per hour. The assignment runs for 12 months. Comprehensive benefits available through Icon Consultants include 401(k), health, dental, and vision coverage.
Recruiting Operations and Coordination
- Assist with recruiting activities and keep candidate records current throughout the hiring journey.
- Create and route employment offers according to approved guidelines and service targets.
- Check offer information for completeness and correctness before it is sent out.
- Coordinate candidate communication around offers, pre-employment steps, and onboarding tasks.
- Help arrange interviews and manage candidate logistics when needed.
- Track recruiting workflows and raise issues that need advisor or leadership attention.
Administrative and Systems Support
- Keep candidate, requisition, and offer data accurate in recruiting platforms and reporting tools.
- Handle data entry, document processing, and transaction updates carefully and precisely.
- Manage recruiting inboxes, requests, and routine administrative work to support timely delivery.
- Ensure all required hiring documents are completed, filed, and maintained properly.
- Support reports, audits, and compliance-related reviews.
Compliance and Process Adherence
- Follow established hiring procedures, policies, and regulatory expectations.
- Confirm approvals, documentation, and supporting information are in place before processing transactions.
- Spot possible compliance issues, data mismatches, or process exceptions and escalate them appropriately.
- Help maintain record retention standards and audit readiness.
- Protect sensitive candidate and employee information at all times.
Candidate and Stakeholder Support
- Provide candidates with a professional, prompt, and positive hiring experience.
- Respond to routine process questions from candidates, hiring leaders, and talent acquisition partners.
- Share timely updates on offer status, required documents, and next steps.
- Work closely with Talent Acquisition Advisors to ensure candidates move smoothly through each stage.
Reporting and Continuous Improvement
- Maintain recruiting trackers, reports, and operational dashboards.
- Help monitor offer volume, hiring progress, and process performance metrics.
- Contribute to efficiency and quality improvements across recruiting operations.
- Take part in projects and special initiatives as assigned.
- Learn new tools and process changes that improve recruiting operations.
- Suggest ways to streamline administrative work and enhance the candidate experience.
