About the Role
Levi’s® Australia is looking for an Office Executive to support day-to-day workplace operations, executive administration and employee experience at its South Melbourne office. What You’ll Be Doing
- Serve as the main contact for guests, employees and external partners, ensuring the front desk experience is polished, friendly and service-driven.
- Keep reception, meeting rooms and shared areas tidy, organised and ready for daily use.
- Manage visitor handling, office communication and routine queries with sound judgement, professionalism and discretion.
- Maintain reception processes, visitor records and office reference documents so they stay accurate and practical.
- Oversee incoming and outgoing mail, courier movements and deliveries across the ANZ network, making sure items are processed correctly and on time.
- Coordinate urgent deliveries, track inbound items and support prompt collection or distribution.
- Stay familiar with building, security and emergency procedures and apply them as part of everyday office management.
- Provide administrative support to the General Manager, including diary coordination, travel arrangements, expense handling and communication with stakeholders.
- Assist with internal meetings, leadership events, conferences and other business activities, ensuring everything is organised and followed through.
- Handle office vendors and administration tasks such as supplier coordination, purchase orders, invoice processing and routine correspondence.
- Build and maintain strong working relationships with leaders, executive assistants, employees, vendors and external partners.
- Work with HR on selected people-related activities such as onboarding, employee celebrations, recognition, departures and internal updates.
- Support project coordination and other ad hoc business priorities for the General Manager.
- Take ownership of daily office operations, including facilities, building coordination, service providers, supplies and shared spaces.
- Keep the workplace well maintained, stocked and ready for employees and visitors, including kitchens, meeting rooms and common areas.
- Monitor office supplies and consumables to maintain suitable levels of stationery, kitchen supplies and other workplace essentials.
- Coordinate recurring office services and practical administration such as supplier visits, maintenance requests and shared resource scheduling, including car park allocation where needed.
What We’re Looking For

- Strong organisational ability, communication skills and stakeholder management capability.
- A flexible, proactive mindset and the ability to adapt to changing priorities.
- Sound judgement, professionalism and discretion when dealing with sensitive information.
- Comfort using Microsoft Office tools, including Outlook, Word, Excel and PowerPoint.
- High initiative, a sense of ownership and excellent attention to detail.
- Background in office coordination and a polished, service-oriented approach.
