Role Overview
As the Facilities Manager, you will be the primary owner of day-to-day facilities work across Petfolk's pet care centers. The company has deliberately centralized facilities decisions, so this position carries clear accountability for operations, vendor coordination, and landlord follow-up across the portfolio, while still working within defined standards, approval limits, and the broader direction set by the Development team. This is a hands-on role for someone who acts like an owner, works quickly and accurately, and enjoys building the infrastructure that supports rapid growth.
Core Responsibilities
You will oversee the condition and operability of each location, manage maintenance programs for critical building systems, and coordinate responses when infrastructure or utility issues arise. You will handle the complete lifecycle of facilities requests, keep the ticketing system current, decide when to repair or replace, authorize spending within approved limits, and respond to urgent issues, including after-hours needs on weekends and holidays when required. You will also support location improvements such as refreshes, flooring work, and other cosmetic or capital projects tied to building age, condition, or brand standards.
Financial Oversight
The role includes supporting budgeting and forecasting with data and recommendations, monitoring portfolio spend, checking invoices before payment, and spotting billing errors or opportunities to recover costs.
Vendor, Landlord, and Construction Coordination
You will be the main daily contact for landlord-related facilities matters, including maintenance duties, building systems, service disruptions, utility concerns, and lease-based repairs. You will manage vendors across the country, create and maintain a centralized vendor tracking process, evaluate performance, fill service gaps, and identify new partners as the business expands. You will also review lease agreements to understand landlord responsibilities, pursue cost recovery when appropriate, and keep documentation for disputes or unresolved claims. In addition, you will work closely with the Construction team on new openings, readiness activities, post-opening issues, and warranty-period follow-up so that construction-related items are tracked and resolved properly.
Reporting and Process Improvement
This position is also responsible for keeping facilities reporting accurate, updating leadership on risks, vendor performance, spending, and operational health, and meeting key measures related to response times, resolution speed, preventative maintenance, vendor quality, and budget control. You will help build SOPs, escalation paths, and maintenance programs that support a growing multi-site organization, while identifying recurring issues and ways to improve consistency and reduce costs.
Who You Are
The ideal candidate brings strong judgment, a high sense of ownership, strong financial awareness, exceptional organization, and a careful eye for detail. You should be comfortable using AI tools, Google Sheets or similar tools, and facilities/ticketing systems without needing analyst support. Clear communication with landlords, vendors, care teams, and leaders is essential, and you should stay calm, proactive, and accountable across a seven-day operating environment.
Experience and Background
Petfolk is looking for someone with 3 to 5 years of experience in facilities management, multi-unit operations, property management, construction, or a similar field. Experience across multiple sites is strongly preferred, especially in retail, healthcare, veterinary, restaurants, dental, urgent care, or hospitality. A background in construction or facilities is helpful but not mandatory. The ability to read commercial leases and distinguish landlord versus tenant responsibilities is preferred, and familiarity with commercial building systems is a plus.
Work Environment
This is a fully remote role, with travel as needed to pet care centers, vendor meetings, new hospital openings, and Petfolk HQ, up to 30%. You will need a dedicated workspace and reliable internet, and communication will happen regularly through video, phone, email, and facilities platforms. Since Petfolk care centers operate seven days a week, including some holidays, the role is not expected to work every weekend or holiday, but it does require ensuring that support, vendor coverage, and escalation paths are in place for urgent issues on any operating day.
Physical Requirements
The job requires the ability to sit for extended periods while working at a computer and to walk through facilities during site visits and inspections.
Compensation
The base salary for this position is $90,000 to $100,000.
