Role Overview

The Executive Assistant & People Coordinator is a key partner to senior leadership and also supports people operations and everyday HR administration. The position combines executive-level administrative support with employee-focused coordination across onboarding, engagement, communications, training support, and general HR tasks.

Executive Support

  • Provide day-to-day administrative assistance to assigned executive leaders.
  • Handle executive calendars, meeting schedules, appointments, and travel planning.
  • Organize leadership meetings, agendas, and presentation materials.
  • Draft and assemble reports, presentations, and other meeting documents.
  • Manage, filter, and prioritize communications directed to executives.
  • Coordinate expense submissions and reimbursement processing for executives.
  • Safeguard confidential records and other sensitive company information.
  • Help with strategic assignments and special projects as needed.
  • Act as a point of contact between leadership and internal or external stakeholders.

People Coordination & Employee Experience

  • Assist with onboarding activities for new employees.

  • Support HR compliance efforts and records retention processes.

Qualifications

  • An associate degree is required; a bachelor’s degree is preferred.
  • At least 1 to 3 years of administrative support experience, ideally in a role supporting senior leaders.
  • Background in human resources, employee services, office administration, or a similar function is preferred.
  • Experience in distribution, manufacturing, logistics, or a related industry is an advantage.
