Job Purpose
This position is responsible for delivering high-level administrative support to the Regional Operations Director, helping ensure that operations run smoothly across schools in the UAE and Gulf region. The role focuses on keeping administrative activities accurate, current, and well coordinated.
Key Responsibilities
- Set up office processes and routines so work moves efficiently and coordination across departments remains smooth.
- Carry out routine administrative tasks such as copying, faxing, mailing, and document filing.
- Manage the Regional Operations Director’s phone communications, share information with callers, redirect calls when needed, and place outbound calls on behalf of the director.
- Maintain the director’s calendar by arranging meetings, appointments, and conferences to support effective time management.
- Handle travel planning and related logistics for business trips.
- Serve as a communication link between the Regional Operations Director and team members or other stakeholders by relaying instructions, directives, and assignments, and tracking progress on tasks and projects.
- Welcome visitors and ensure they receive the appropriate attention and hospitality.
- Support communication between the Regional Operations Director and department heads for any required logistical follow-up.
- Compile leave requests and approved vacation records as required by the director.
- Help maintain a professional workplace while addressing and resolving employee concerns or conflicts.
- Complete additional assignments and projects as delegated by the Regional Operations Director.
- Monitor leave requests and workplace conduct across departmental staff to support smooth departmental functioning and its impact on SES.
- Create presentations and other documents on behalf of the Regional Operations Director.
- Coordinate training activities and departmental events.
- Arrange meetings, conferences, and events, including agenda preparation, minute-taking, and sharing meeting materials when required.
- Support the planning and execution of regional tasks and projects, often while managing several priorities at once.
- Manage incoming and outgoing communication, respond to queries, solve issues from different stakeholders, and maintain a high level of service and professionalism.
- Organize regional documents, records, and files while following data protection, confidentiality, and internal storage requirements.
- Perform any other related duties assigned by the Regional Operations Director.
Ideal Requirements
- A bachelor’s degree in Business Administration or a closely related qualification is required.
- Fluency in both English and Arabic is essential.
- At least 2 to 3 years of experience in a relevant area is preferred.
- Strong professional conduct and ethical judgment are expected.
- Focus on achieving results and completing work effectively.
- Willingness to keep learning and improving.
- Sense of accountability and ownership for assigned work.
- Good organizational ability with the capacity to prioritize and manage several tasks at once.
- Strong accuracy and attention to detail.
