CVRD Health is building software that helps employers manage legally required employee benefit funds tied to federal contracting work. These funds often accumulate hour by hour, but today they are usually handled through spreadsheets, fragmented vendors, and complex compliance rules. That leads to wasted spend, audit risk for employers, and benefits that workers cannot easily access or use. CVRD’s platform brings benefit tracking, compliance, healthcare, and retirement management into one system so employers can stay current in real time and employees can better understand and use their benefits.
Role overview
This position goes far beyond a standard calendar-management role. It blends executive support, office operations, project coordination, and hands-on problem solving. You will work directly with the CEO and Chief Client Officer, while also helping the wider team with whatever needs attention during the week. The work may range from preparing leadership for investor meetings to onboarding new hires, arranging travel, handling vendors, planning offsites, or resolving unexpected operational issues.
The ideal candidate is proactive, resourceful, and comfortable owning tasks from start to finish. You should be able to anticipate problems early, keep work moving without constant follow-up, and step into both strategic and practical tasks as needed. Because most of the company works remotely, this role is especially important as an in-person anchor for the Miami office.
Work setup
This is a Miami-based position with an in-office schedule from Monday through Thursday, plus flexible hours and Fridays.
Key responsibilities
You will support leadership, manage office operations, and coordinate cross-functional work across the company.
Executive support
- Maintain a changing CEO calendar that includes investors, customers, and internal leadership meetings.
- Prepare concise daily briefs and meeting materials for leadership.
- Manage inbox flow and help draft outgoing communications.
- Run meetings from start to finish, including notes, tracking action items, and following up afterward.
Travel and events
- Coordinate travel for executives, visitors, and conference attendance, including flights, hotels, itineraries, and last-minute changes.
- Plan and execute quarterly workshops, board meetings, offsites, and company events.
Office and vendor management
- Keep the Miami office organized, supplied, and ready for visitors.
- Handle office vendors, deliveries, and supply needs.
- Serve as a contact point for brokers, recruiters, insurance providers, and other operational vendors.
- Work with finance to keep office, travel, and event spending within budget.
Cross-functional projects
- Create and maintain SOPs and internal documentation.
- Support company-wide process improvements, compliance efforts, and communication rollouts.
- Own projects that do not clearly belong to a single department.
What you bring
You should bring startup experience, strong judgment, excellent organization, and a calm, proactive approach to shifting priorities.
Must-have qualifications
- At least 2 years of experience as an executive assistant or in operations at a startup or fast-growing company.
- A proactive style that helps you identify issues before they become problems and carry tasks through to completion.
- A genuine team-first attitude and willingness to support others in practical ways.
- Strong writing skills with the ability to adjust tone for Slack, email, and executive-level communication.
- Excellent organization, discretion, and judgment when handling sensitive information.
- The ability to stay composed when priorities change quickly.
- Comfort working independently and solving problems without constant direction.
- Based in Miami and willing to work primarily from the office.
Bonus experience
- Prior support experience for founders or senior leaders in startups.
- Background in healthcare, insurance, employee benefits, or government contracting.
- Familiarity with tools such as Google Workspace, Slack, Gusto, Ramp, Navan, Salesforce, Jira, ClickUp, or similar systems.
- Experience coordinating events, offsites, conferences, or executive travel.
