About RLDatix

RLDatix works to raise the standard of care across the world. Its software supports more than 10,000 healthcare organisations by helping improve health and care outcomes and by giving providers the tools they need to deliver safer, better care. The company is powered by a global team of over 2,000 people who contribute every day to improving healthcare.

Role overview

This UK-based Executive Assistant role sits within the Operations Support team and is focused on helping the Chief Technology Officer (CTO) and cross-functional groups work more efficiently and stay aligned. The position combines senior-level administrative support, coordination, communication, and workflow improvement, all aimed at boosting productivity and enabling stronger delivery across the business.

Key responsibilities

  • Take ownership of the CTO’s schedule, prioritising time for the most important work and guarding it against unnecessary interruptions.
  • Review meeting requests with a strategic lens, flagging clashes, reducing low-value attendance, and finding opportunities to delegate.
  • Set up meetings and prepare concise, high-quality briefing packs so the CTO enters each discussion fully informed.
  • Write clear internal updates and communications that keep teams aligned on goals, priorities, and any changes to plans.
  • Monitor important strategic actions independently, following up with stakeholders to maintain momentum and keep commitments on track.
  • Spot possible issues early and resolve them before they affect day-to-day operations.
  • Arrange travel, leadership offsites, and executive events, including venue booking, catering coordination, and managing attendee logistics.
  • Keep systems, records, and databases well maintained, accurate, and confidential.
  • Look for gaps or inefficiencies in administrative processes and recommend improvements that raise speed, accuracy, and effectiveness.
  • Prepare polished presentations and materials suitable for executive use.
  • Develop trusted relationships with internal and external contacts while managing expectations clearly and professionally.
  • Work with a high level of independence, making sound decisions within agreed boundaries to support executive performance.
  • Partner closely with the CTO and leadership team to help them operate at their best.

Candidate profile

  • Background in high-level administrative or executive support within a fast-moving, collaborative setting.
  • Strong experience handling complex executive calendars while prioritising what matters most.
  • Ability to think ahead, solve problems proactively, and make confident independent decisions.
  • Excellent written and verbal communication skills with the ability to adapt messages for different audiences.
  • Experience producing executive briefing documents and, ideally, board-ready presentations.
  • Highly organised, with the ability to manage several initiatives at once and ensure follow-through with minimal supervision.
  • Detail-focused and proactive, with a mindset geared toward efficiency and ongoing improvement.
  • Collaborative and relationship-driven, with the ability to build trust and contribute to a strong team culture.
  • Genuine interest in healthcare operations and in work that supports patient safety.
