Role overview

This opportunity is suited for an experienced, highly organized, and proactive Executive Assistant who can operate in a fast-moving environment and act as a dependable partner to senior leadership. The role supports two vice president-level leaders and will be central to keeping them productive through calendar management, travel coordination, issue anticipation, confidential handling, and calm navigation of changing priorities.

The ideal person will take initiative, think through problems carefully, and look for ways to make each leader’s day run more smoothly. The role also offers the chance to join a supportive network of around 150 executive assistants across the company, with broad exposure to senior leaders and meaningful visibility in a dynamic setting.

Key responsibilities

  • Stay ahead of the leaders’ needs by tracking schedules, meetings, travel, upcoming events, incoming correspondence, and matters affecting the office, campuses, employees, and visitors.
  • Own calendar coordination and contact management, including arranging meetings, travel logistics such as flights, car service, rental cars, and hotels, as well as ordering supplies, preparing expense reports, and arranging rooms and catering.
  • Serve as a point of contact between the leader and employees, clients, and outside contacts, using sound judgment to decide what can be handled directly and what should be escalated.
  • Manage sensitive, complex, and time-critical situations involving the administrative and business functions of the office.
  • Maintain accurate records and filing systems across electronic and physical formats, ensuring documents are organized correctly and stored in a timely manner.
  • Help prepare budgets and track spending.
  • Coordinate large meetings that may involve several departments.
  • Support other teams and staff with special projects and events when needed.
  • Provide documents and information to the CEO of Covista and his office as requested.
  • Perform light daily housekeeping of the leader’s office.
  • Carry out additional assigned duties and follow company policies and standards.

Requirements

  • A bachelor’s degree is required, although a suitable mix of education and experience may be considered instead.
  • At least 8 years of experience supporting executive leaders in an executive assistant capacity.
  • Strong working knowledge of Microsoft Word, Excel, PowerPoint, Outlook, and related Microsoft tools, along with meeting note-taking experience.

Compensation
