About the role

This position supports internal teams by managing regulations, documentation, manuals, templates, software, and systems used for technical publications. The role also acts as a coordination point between external regulators, vendors, and the Engineering & Operations Department to keep essential publications current, accurate, and compliant with the CAMO program while helping operations teams in their day-to-day work.

Key responsibilities

  • Keep all onboard documents, certificates, and forms updated so they remain valid and compliant.
  • Maintain the Aircraft Certificate folder and routinely refresh the Master Document List and Aircraft Certificate List.
  • Issue and maintain updated technical documentation records for outstations through the relevant units, and secure acknowledgements from the concerned parties.
  • Carry out periodic aircraft inspections to check onboard documents and confirm they meet required standards.
  • Perform quarterly document audits across all hubs to confirm completeness and accuracy.
  • Review and resolve JL/IQSMS comments related to mismatches in onboard flight operations documentation, and coordinate corrective actions.
  • Work with base flight operations coordinators to fix missing document issues and arrange any additional support required.
  • Regularly update stock copies and archive master copies maintained by Technical Publications and Operations Documentation.
  • Remove outdated documents from circulation in line with approved withdrawal procedures.
  • Track the condition and status of aircraft library manuals and onboard documentation through accurate recordkeeping.
  • Manage the Vendor Control Card and complete quarterly cross-checks against the Manufacturer and/or Vendor Publications Index Manual.
  • Support colleagues whenever needed to keep the team operating smoothly.
  • Handle any other duties assigned by the Line Manager.

Qualifications and knowledge

  • Bachelor’s degree in Management or a related field is preferred; alternatively, a higher diploma or certificate from a recognized institute with the relevant experience and exposure may be accepted.
  • A degree in Engineering will be considered an advantage.
  • Good working knowledge of the legal requirements of the GCAA or another major civil aviation authority is required.
  • Training in Compliance, Document Control, Librarian functions, and Quality Assurance is beneficial and may be treated as a conditional advantage.
  • Strong practical skills with technology systems and tools, including Microsoft Office, internet research, and web search; experience with Adobe FrameMaker, Illustrator, Adobe tools, ERP, and EFB is an added advantage.
  • Excellent written and spoken communication skills, including reporting and presentations.
  • Fluency in English is required.

Work experience

  • At least 3 years of experience in a similar role within the aviation industry is preferred.
  • Experience handling publications or technical library work, especially with Airbus A320 aircraft, is desirable.
  • Working knowledge of aircraft planning and maintenance publications and how they connect to the airworthiness program is needed.
  • Exposure to airline operations, flight operations, and standard regulations is expected.
