Role summary

The Document Controller will be responsible for organizing, directing, and overseeing all project documentation in both physical and digital formats. The role focuses on ensuring that project information is distributed, stored, tracked, and retrieved efficiently so that documentation processes support project requirements.

Key accountabilities

  • Handle the circulation and administration of office procedures and project documentation.
  • Manage incoming correspondence by copying, distributing, and filing it appropriately.
  • Process outgoing correspondence, including copying, distributing, and filing.
  • Issue documents and maintain tracking for all document movement.
  • Prepare letters and fax documents in the correct format and follow proper protocol.
  • Maintain document references, storage systems, PC file storage, and backup records.
  • File documents in both soft and hard copy formats according to project standards.
  • Raise stationery requests and place orders for site document control needs.
  • Support drawing issue procedures and related document release processes.
  • Use EDMS platforms such as Aconex, ACC, BIM360, and FTP for document handling.
  • Maintain document tracking logs and registers, and carry out daily file management.

Project-specific duties

  • Download documents such as letters, drawings, and transmittals from project EDMS platforms.
  • Print transmittals for review by the Project Architect.
  • Confirm the purpose of each issue and the correct distribution list.
  • Arrange printing of hard-copy drawings where required.
  • Perform quality checks by comparing drawings with transmittals and verifying them against all registers.
  • Notify the issuing party when there are unresolved or pending matters.
  • Prepare letters related to document issue.
  • Obtain approval from the Project Architect before release.
  • Update all project registers, logs, statements, and reports after each issue.
  • Maintain and update the Project Quality Assurance Manual.
  • Keep the project document control register current.
  • Support coordination of change management administration.
  • Carry out additional duties that may reasonably be expected for this position.

Qualifications and experience

The company is looking for a graduate candidate with strong English communication skills, solid document control experience, and good working knowledge of common office tools and document management systems.

Software and systems

Experience with Aconex, Newforma, Primavera, Expedition, and FTP operations will be considered an advantage. The role also requires intermediate proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Teams.
