Role overview
The Commercial Administrator supports the Commercial Department by helping simplify workflows, centralizing contract management, strengthening governance, improving post-award follow-up, building commercial awareness, and lowering exposure to risk across the division.
Key responsibilities
- Take over post-award administration for contracts and purchase orders from the Sales team and manage the full contract administration cycle.
- Track contract execution carefully to prevent issues that could escalate into disputes or crises between the involved parties.
- Review and monitor the commercial terms of prime contracts to make sure all contractual terms and conditions are followed.
- Work with engineering and operations teams to confirm progress and ensure contractual deliverables are completed on time, including reimbursements, testing, insurance, bonds, and related requirements.
- Support internal departments such as sales, engineering, procurement, and logistics, as well as external parties, with commercial administration matters.
- Handle the timely preparation, review, and approval of shipping documents, and coordinate all shipping and commercial paperwork, including documentary letters of credit, insurance, and progress payments.
- Supervise expediting activities for awarded contracts and purchase orders.
- Flag commercial performance risks and deviations to the Commercial Manager and suggest areas where efficiency can be improved.
- Coordinate approvals with internal and external stakeholders as needed.
- Ensure commercial processes stay aligned with company policy, government regulations, and recognized industry best practices.
- Send and manage commercial documents and correspondence with internal and external stakeholders.
- Conduct market research and benchmarking analysis.
- Support the preparation of contract close-out checklists.
- Prepare progress updates and status reports.
- Maintain and update the contract portfolio database.
- Carry out other duties related to the role as required.
Qualifications and experience
A bachelor’s degree in Business Administration, Quantity Surveying, Finance, or a related discipline is required. The role calls for at least 5 years of experience in contract administration and expediting. Candidates should have strong knowledge of business practices in the industry, relevant legislation, FIDIC contract forms, contractual language, and supply-related matters. Familiarity with SAP and standard PC software used in commercial administration is also expected.
Skills needed
This position requires excellent written and spoken communication, strong interpersonal ability, solid numerical skills, and the capability to manage multiple complex activities with competing priorities. The ideal candidate should be able to organize work effectively, meet deadlines, perform well in a fast-moving environment, and contribute positively to a diverse team under leadership.
