Role Overview

ATL is looking for an Administrative Support Specialist to assist with administrative activities for the WTC Health Program. The role is centered on supporting efficient, consistent, and customer-focused operations for the Administrative Services Team while helping maintain high standards of service for clients, beneficiaries, and providers.

The position also involves contributing to a professional and collaborative team culture. The selected candidate will be expected to participate in occasional lunch-and-learn sessions and other training opportunities related to the organization’s culture and program operations.

Background: The CDC’s National Institute for Occupational Safety and Health established the WTC Health Program on July 1, 2011 to provide medical monitoring and treatment for eligible members under the James Zadroga 9/11 Health and Compensation Act of 2010. The program was later reauthorized on December 18, 2015 through 2090 under the James Zadroga 9/11 Health and Compensation Reauthorization Act.

Key Duties

  • Collect, structure, and preserve program documents and reference materials that support the WTC Health Program mission, working with agencies, contractors, and other stakeholders as needed.
  • Help coordinate meetings by arranging schedules, drafting agendas, managing logistics, preparing travel arrangements, and assembling supporting documents.
  • Record meeting notes, review them for accuracy, circulate them to the right people, and store them properly for future reference.
  • Support both in-person and virtual meetings by handling schedules, presentation materials, transcript review, travel coordination, and final documentation needed for the public docket.
  • Protect confidential and sensitive information connected to WTC Health Program health plan operations.
  • Prepare credit card purchase packets, assist with training and conference processing, support contract action requests, and help with facility and product management tasks.
  • Maintain contract records, monitor procurement activities, and organize backup documentation to support policy compliance and audit readiness.
  • Manage electronic contract files and keep documentation orderly and current.
  • Track deadlines and funding status.
  • Maintain spreadsheets and databases.
  • Handle document control tasks.

Minimum Qualifications

A bachelor’s degree plus at least 2 years of experience in administrative support is required.

The candidate should be comfortable using Microsoft Office tools, with particular strength in Excel and SharePoint. Strong organization, professional communication, follow-up, coordination, teamwork, attention to detail, multitasking ability, and adaptability are important for success in this role.

Experience in a government setting is considered an advantage. Familiarity with procurement request packages, statements of work, contract file upkeep, and invoice/deliverable tracking is also a plus.
