Role Overview
Apetan Consulting LLC is hiring a full-time Administrative Project Coordinator in New York, NY 10001. This is a hybrid position that provides high-level, concierge-style support to attorneys. The role combines administrative coordination, travel planning, document handling, business development support, and other demanding project-based tasks.
What You Will Handle
- Carry out varied and complex assignments, often against tight deadlines.
- Arrange detailed travel plans, including support for visa materials and passport renewal paperwork.
- Step in for other support functions when needed, such as printing, scanning, copying, quality checks, faxing, and delivering packages by hand.
- Set up and support conference calls and video meetings.
- Answer incoming calls, route them appropriately, place outbound calls, and record thorough messages.
Qualifications and Work Expectations
- Strong command of office tools and firm software, especially Outlook, Excel, and PowerPoint, with the ability to pick up new systems quickly.
- Advanced Excel capability, including PivotTables, filters, and conditional formatting.
- Willingness to adjust working hours as needed to support business demands.
- Ability to travel when required.
- Comfort working in an office environment.
- Must already be a New York State Notary Public or be able to obtain a commission within six months of joining.
Education and Experience
A bachelor's degree is required, along with at least two years of related experience in a law firm or professional services setting.
Compensation
The offered salary range is $85,000 to $100,000 per year.
