Role summary
This contract opportunity is for an organized, proactive professional to support a Program Management Operations team in a coordination and administrative capacity. The position is intended for someone who blends administrative assistant strengths with project coordination experience, rather than a formal project manager background. The preferred experience range is at least 2 years and no more than 5 to 6 years.
What you will do
- Coordinate project meetings, including calendars, planning, and logistics, while using MS Office applications and Smartsheet.
- Maintain and update program templates.
- Set up and support Program Management staff meetings.
- Oversee program materials, including ordering, receiving, storing, and distributing them across global locations.
- Prepare Purchasing Card requests from submitted needs, with careful attention to accuracy and process compliance.
- Handle questions from global Program Management teams and internal stakeholders regarding order progress and invoice follow-up.
- Work with cross-functional partners to assist Program Management activities and related processes.
- Look for process gaps and help implement practical improvements where needed.
What we are looking for
The ideal candidate is highly organized, self-directed, and comfortable supporting multiple workstreams in a fast-paced environment. Strong communication, time management, and independent working ability are important. A bachelor’s degree is required, along with at least 2 years of experience in a dynamic professional setting. Advanced computer literacy is needed, including proficiency with Outlook, Word, PowerPoint, Excel, Teams, Smartsheet, Confluence, SharePoint, and Power BI. Familiarity with the Planisware database is an added advantage.
Compensation and benefits
The base pay range for this role is $19 to $20 per hour, depending on experience, skills, and internal equity. As this is a contractor position, benefits are limited to those legally required and may include vacation pay, public holidays, leaves of absence, and other applicable statutory entitlements. The company also provides a broader total rewards package where eligible under federal, provincial, and local requirements, with benefit access varying by role, employment status, and work location.
