Role Overview
Cigarette Racing, established in 1969, is recognized for its craftsmanship, performance, and premium boat-building standards. The company is looking for an Administrative Assistant to support the Production Management and Sales teams, helping keep day-to-day operations organized and efficient. The role involves coordinating meetings, preparing reports, tracking follow-up items, maintaining records, and improving communication across departments.
This opportunity is best suited to someone who is organized, careful with details, comfortable juggling several priorities, and able to work in a fast-moving manufacturing environment.
Production Administrative Support
- Assist the General Manager and Production Management team with administrative tasks.
- Prepare and circulate production reports, labor tracking summaries, project updates, and department metrics.
- Keep production files, schedules, and operational documents well organized.
- Set up meetings for Production leadership and share agendas, minutes, and follow-up actions.
- Monitor outstanding production action items and check in with department leaders until tasks are completed.
- Help coordinate schedules across Production, Engineering, Materials, and related teams.
- Gather data and compile information for weekly production meetings and management reviews.
- Create presentations, spreadsheets, and reports tied to production performance and activity.
- Maintain document control, filing systems, and overall department organization.
Sales Administrative Support
- Provide day-to-day administrative help to the Sales team.
- Organize customer files, sales paperwork, and project documentation.
- Assist with sales reports, customer-facing presentations, proposals, and correspondence.
- Coordinate internal discussions between Sales and Production about vessel progress and customer needs.
- Track customer requests, follow-ups, and internal action items to keep communication moving.
- Help arrange customer visits, factory tours, vessel inspections, and delivery meetings.
- Keep records of sales agreements, specifications, and related documents in order.
- Support special sales projects and other administrative tasks as needed.
Quality Control Administrative Support
- Support the Quality Control department with administrative work.
- Maintain inspection records, audit files, sea trial reports, and corrective action logs.
- Help organize and track quality-related documents throughout the manufacturing process.
- Arrange Quality Control meetings and distribute minutes and follow-up items.
- Track open quality issues and corrective actions, and provide status updates to leadership when needed.
- Compile quality metrics, inspection outcomes, and department reports.
- Keep filing systems for quality records and compliance documents well maintained.
- Facilitate communication between Quality Control, Production, Engineering, and Service teams to help resolve issues quickly.
Meeting Coordination and Follow-Up
- Attend meetings when asked and take detailed notes.
- Prepare and share meeting summaries and action item logs.
- Follow up on assigned tasks to support accountability and timely completion.
- Help department leaders manage priorities, schedules, and project organization.
- Coordinate recurring meetings and maintain calendars.
General Office Support
- Prepare and maintain reports, spreadsheets, presentations, and correspondence.
- Handle incoming communications and direct information to the right people.
- Keep electronic and paper filing systems organized.
- Order and track office supplies and other administrative resources.
- Assist with cross-functional projects and company initiatives.
- Carry out additional administrative duties as assigned to support operations.
Work Location, Schedule, and Conditions
This is an onsite position in Opa-Locka, Florida, within a boat manufacturing or repair facility. The work is primarily office-based but takes place in a manufacturing environment. The schedule is Monday through Friday, 8:00 am to 4:30 pm, with occasional overtime or weekend work if needed.
The role includes regular contact with production leadership and operational teams, plus occasional interaction with vendors, inspectors, and regulatory agencies. Flexibility may be required during audits or reporting deadlines. Because the job is based in an industrial setting, the environment may involve chemicals, fumes, noise, equipment, and changing temperatures. Personal protective equipment must be worn when entering operational or production areas. Local travel may occasionally be required for vendor meetings, inspections, or licensing matters.
Physical Requirements
- Ability to sit for long periods while using a computer and completing administrative work.
- Ability to stand and walk through the facility, including production areas when required.
- Ability to lift and carry office materials, files, or supplies weighing up to 25 pounds.
- Ability to bend, reach, and stoop to retrieve files or materials.
- Manual dexterity to use standard office equipment such as computers, printers, copiers, and phones.
- Good visual ability to review documents, spreadsheets, reports, and compliance records.
- Ability to enter production or warehouse areas occasionally, where industrial noise, equipment, or temperature changes may be present.
- Ability to wear required PPE in operational or production areas.
- Ability to travel locally when needed for vendor meetings, inspections, or licensing-related tasks.
