Role overview
The Academic Administrative Officer serves as the first contact point for phone enquiries and walk-in visitors, while also providing day-to-day administrative assistance to the office team. A strong commitment to student safeguarding and well-being is central to the role, along with strict adherence to the school’s statutory procedures. The position calls for consistently high standards of customer service in a busy, fast-moving school environment.
Key responsibilities
- Handle incoming calls politely, identify the caller’s needs, and connect them with the relevant staff member or department.
- Welcome visitors to the school in a friendly and professional manner, offering suitable guidance and support.
- Carry out emergency response and evacuation procedures when needed.
- Assist the school nurse with medical evacuations and any related communications.
- Keep the front desk environment, including the majlis, parents’ café, and nannies’ café, tidy, welcoming, and well stocked in coordination with facilities management.
- Work closely with other departments, including security, to ensure clear communication for events and student arrivals and departures.
- Follow and uphold the school’s health and safety requirements.
- Support office administration through filing, data entry, and appointment scheduling.
- Arrange and confirm meetings for staff, faculty, students, parents, and other departments or schools as required.
- Maintain accurate attendance records in iSAMS.
- Enter and update information correctly in the Noor system.
- Provide general administrative support to the school office.
- Take on additional tasks assigned by the line manager when needed.
Safeguarding and student welfare
The successful candidate must help protect and promote the welfare of children and young people, follow safeguarding procedures and the staff code of conduct, and support the designated safeguarding lead as a priority to ensure student safety and well-being.
Qualifications
A diploma or degree is required.
Experience
Applicants should have more than 2 years of experience in a similar position.
Skills and capabilities
This role requires strong spoken English and Arabic, solid interpersonal skills, the ability to adapt to changing situations, effective planning and prioritization, data analysis capability, and proficiency with Microsoft Office and Google Suite. The officer must also stay calm under pressure and have experience communicating with parents.
