Role Summary

The Supply Chain Coordinator handles a broad range of post-order administrative activities tied to purchase orders. This role works closely with overseas and domestic suppliers to confirm order quantities, pricing, production dates, best-before dates, and shipment timing, while acting as a bridge between procurement, import clearance, and operations teams.

Key Responsibilities

  • Accurately enter, review, and maintain purchase order shipment confirmations and cargo records before transferring files to the import clearance team.
  • Collect, organize, and maintain packing lists and certificates of analysis in shared digital folders so they are easy to find and use.
  • Ensure suppliers meet document deadlines by providing ISF data, packing lists, and commercial invoices 72 hours before departure for international shipments, and packing lists 24 hours before departure for domestic shipments.
  • Record, check, and keep up to date all cargo and lot details related to production dates and best-before dates.
  • Track open purchase orders and shipping instructions, flagging delays and following up with suppliers and buyers when needed.
  • Work with logistics teams to resolve transportation issues and shipment-related challenges.
  • Support the review and approval process for supplier invoices.
  • Prepare and distribute inventory exception reports, including aging stock, expiring lots, and allocation holds, for buyer visibility.
  • Share COAs and other supplier certifications with Customer Service and Sales teams when requested.
  • Take on other related duties as assigned.

Skills and Qualifications

Compensation
