Key responsibilities

The role will serve as the central coordinator for all permitting-related work, ensuring government authority submissions, approvals, and follow-ups are managed efficiently throughout the project lifecycle.

  • Act as the main contact for government authority permitting activities, submissions, and approvals
  • Track project execution to make sure work follows project procedures, work instructions, and safety and quality requirements set by Wood and/or the client
  • Assess the permitting schedule prepared by the project team and confirm that it is realistic against authority approval lead times
  • Share updates on any new regulations or regulatory amendments that may affect the project
  • Prepare requisitions for a Qualified Person consultant and an Authorised Examiner for statutory pressure vessel registration with the Ministry of Manpower
  • Review and evaluate bid packages for consultants and authorised examiners
  • Organise and take part in tender interviews for consultant appointments
  • Track the preparation of authority-related documents and calculations across disciplines to meet submission deadlines
  • Monitor progress against the authority approvals schedule and push for timely document issuance from all parties
  • Conduct regular review meetings with stakeholders and follow up on action items
  • Coordinate with consultants, M&E PE, third-party specialists, and government authorities on clarifications during project execution
  • Work with the Qualified Person and Authorised Examiner to address project team queries and issue meeting minutes where required
  • Liaise with the owner, consultants, and construction teams during construction and inspection stages
  • Arrange site clarifications with consultants and authorised examiners to address authority requirements
  • Prepare inspection requirements and schedules for construction during the TOP/CSC phase
  • Monitor construction progress for the relevant scope to ensure readiness for TOP/CSC inspections
  • Share project information with team members and ensure information is available when needed
  • Maintain project filing in line with quality procedures
  • Coordinate with other groups as needed to support project delivery
  • Complete closeout activities for all project-related work
  • Attend internal coordination meetings, vendor meetings, engineering reviews, project meetings, and quality audits as required
  • Update discipline progress reports within the required reporting period
  • Help close out consultant and authorised examiner contracts
  • Document lessons learned for the project

Requirements

  • Degree or diploma in Civil/Structural Engineering or Architecture
  • At least 5 years of experience in civil/structural consulting or an architectural firm working on industrial projects such as refinery, petrochemical, chemical, power, or pharmaceutical plants
  • Good knowledge of local authority codes, regulations, and submission procedures
  • Experience with permitting in Indonesia and with Indonesian authorities
  • Strong communication and interpersonal skills, along with initiative
