Role overview

The clinic is looking for a Patient Coordinator to take full ownership of the client journey and support the day-to-day running of the business. This is a busy, multi-tasking role for someone who is comfortable being the primary contact for clients and who can manage both communication and operational coordination.

This position is not limited to basic reception work. It involves active client handling, appointment management, clinic coordination, reporting, and operational follow-through throughout the day.

Client communication and conversion

  • Respond to client enquiries across WhatsApp, Instagram, and other communication channels in polished, professional English.
  • Provide complete and timely replies, address questions clearly, and turn conversations into confirmed bookings.
  • Explain the clinic’s treatment approach and help clients choose the most suitable first appointment or service.
  • Follow up with previous clients to encourage repeat visits and reconnect with clients who have been absent for some time.

Bookings and patient journey

  • Maintain the appointment calendar and send booking confirmations.
  • Monitor next-day appointments and chase any that are still unconfirmed.
