About the role
This position is responsible for handling day-to-day supply chain transactions and serving as the main point of contact for supply chain support to maintenance operations. The role focuses on sourcing spares, components, complex assemblies, and tools needed for aircraft maintenance within Qatar Airways Technical.
Key responsibilities
- Handle aircraft material requisitions by checking pricing references, requesting quotations from approved sources, and negotiating for the most favorable price and shortest possible lead time for purchase, loan, or exchange transactions.
- Raise purchase orders, exchange orders, and loan orders in coordination with relevant stakeholders such as Technical Materials Planning, MOCC, Engineering, Technical Records, Warranty, Logistics, and Maintenance, while applying the correct GL and CE codes, conditions, and parameters.
- Obtain the required DOA approval based on the total order value and release orders to the approved supplier accordingly.
- Select suppliers from the Register of Approved Companies by balancing best price and minimum delivery lead time.
- Ensure shelf-life controlled items are purchased from fresh stock with at least 80% shelf life remaining.
- Obtain supplier order acknowledgements within 7 days of order release and track overdue orders so they do not exceed 5% overall.
- Follow up on delayed orders, potential shortages, and MDD item requirements with manufacturers, vendors, and suppliers to support operations and reduce the risk of stock unavailability.
- Monitor outstanding loan and exchange orders, process exchange-out and loan-return transactions, and ensure items are delivered to suppliers within the required time frame.
- Support light and heavy maintenance events by coordinating with key stakeholders to meet service expectations.
- Liaise with aircraft and component manufacturers, as well as repair organizations, to clarify technical data related to parts, tooling, and other materials used in aircraft repairs.
- Manage units classified as Beyond Economical Repair or otherwise not technically repairable by the supplier in line with Qatar Airways policy.
- Coordinate with accounts payable and stores quality teams to close outstanding invoices and discrepancy units within 10 days of notification.
- Work with logistics teams and freight forwarders to clear air, sea, and road consignments.
- Ensure one-time offer contracts and exchange or loan agreements are uploaded into QCAS with all required details for review by the contracts team.
- Support the AOG desk by checking whether required parts are available on higher or lower assemblies in stock.
- Contribute to process improvement efforts and help enhance customer support.
- Follow TPM and departmental procedures carefully to ensure compliance, and escalate unresolved issues to the FSCO when needed.
- Carry out any other supply chain duties assigned by the FSCO or Head of Department.
Qualifications and skills
The role requires a strong understanding of supply chain processes within an aviation maintenance environment, along with the ability to work under pressure and manage multiple tasks effectively. Candidates should be confident in negotiation, communication, and coordination across several internal and external stakeholders.
Education and experience
Applicants should hold a High School Qualification, Vocational Qualification, Diploma, or an equivalent qualification with at least 3 years of relevant work experience, or a Bachelor’s Degree or equivalent with at least 2 years of relevant experience. A University/High School graduate or Engineering Diploma from a recognized college with strong academic performance is also considered relevant, depending on the role profile.
Technical knowledge
Good computer literacy is required, along with the ability to understand parts certification, technical publications, vendor manuals, and TPM. Familiarity with EASA, FAA, and QCAA regulations is also expected.
Competencies
Strong teamwork, relationship building, persistence in communication, multitasking ability, and the capacity to work under pressure with minimal supervision are important for success in this role.
