Role overview
The organization is looking for a detail-oriented and highly proactive Executive Assistant to support senior leadership with day-to-day administrative and operational responsibilities. This person will be a dependable partner for managing schedules, communications, follow-ups, and priority tasks while handling sensitive information with discretion.
Key responsibilities
- Keep executive calendars up to date by coordinating meetings, appointments, and travel plans.
- Plan internal and external meetings, including agendas, presentations, and meeting notes.
- Manage communications such as emails, calls, and correspondence on behalf of the executive.
- Act as a central contact point between executives and key stakeholders.
- Work closely with internal teams and outside partners to keep communication and task execution on track.
- Track action items and ensure deadlines are met.
- Organize domestic and international travel, including flights, hotel stays, and itineraries.
- Coordinate events, conferences, and other business meetings.
- Create reports, presentations, and other business documents as needed.
- Store and manage records, files, and confidential information securely.
- Support data review and KPI tracking when required.
- Assist with broader business operations and strategic initiatives assigned by leadership.
- Help with budget tracking, expense monitoring, and vendor coordination.
- Suggest and support process improvements that increase efficiency.
Requirements
- Bachelor’s degree in business administration or a related discipline.
- Prior experience as an Executive Assistant or in a comparable administrative position.
- Strong ability to organize work and manage multiple priorities at once.
- Clear verbal and written communication skills.
- Working knowledge of Microsoft Word, Excel, PowerPoint, and Outlook.
- Strong sense of confidentiality and professional discretion.
