About the Role
Join American Airlines in a role that supports a Managing Director with high-level administrative, clerical, and organizational work. This position is based in Fort Worth, TX and is designed for someone who can handle a fast-moving environment, juggle multiple priorities, and contribute to the smooth day-to-day operation of the team.
Key Responsibilities
- Maintain the confidentiality of sensitive information at all times.
- Sort, filter, and respond to incoming mail, emails, and phone calls with strong judgment.
- Manage an intensive calendar and balance competing departmental priorities.
- Coordinate domestic and international travel, including flights, lodging, ground transport, and full itinerary preparation.
- Prepare correspondence, presentations, reports, and other ad hoc materials.
- Handle time and attendance tracking, expense reports, invoices, and office supply orders.
- Support meetings and events by arranging logistics, budgets, agendas, training materials, presentations, and catering.
- Respond to customer inquiries and complaints within assigned authority limits.
- Work with corporate clients and community business leaders as needed.
- Partner closely with the VP Executive Assistant and other administrative team members.
- Complete additional duties when required, within the scope of the role and applicable obligations.
Experience and Qualifications
- High school diploma is required.
- At least 2 years of previous experience in an administrative position.
- Comfortable using Microsoft Office tools such as Word, Excel, PowerPoint, and Outlook.
- Experience with Workbrain, Coupa, Concur, Teams, distribution list creation, and NRTA tools.
- Ability to learn new skills quickly and cross-train with other administrative staff.
- Strong attention to detail, good time management, and the ability to work to deadlines.
- Capable of working in a busy setting, handling several tasks at once, and contributing with minimal supervision.
- Strong analytical thinking, problem-solving ability, emotional intelligence, and a positive attitude.
- Must be able to meet FAA criminal background check requirements for unescorted access to SIDA areas, if applicable.
