Role overview
The Corporate Affairs & Communications (CA&C) organization at American Express is a core enterprise function focused on strengthening and safeguarding the brand through public relations, enterprise communications, social media and content, colleague communications, corporate sustainability/ESG, public policy, and issues and crisis management.
As Executive Assistant, you will provide senior-level administrative, operational, and strategic support to three Vice Presidents and one Senior Vice President. The position calls for strong organization, sound judgment, discretion, and the ability to stay on top of multiple competing priorities across several leadership teams.
The leaders in scope oversee important enterprise areas such as Corporate Communications, Corporate Sustainability/ESG, Enterprise Strategy, Public Policy, Issues & Crisis Communications, GCO, and Control Management. This is a fast-moving and high-visibility role that involves frequent interaction with senior stakeholders and external partners.
Executive and strategic support
- Act as a dependable partner to three VPs and one SVP, working as an extension of their offices.
- Stay ahead of executive needs, balance shifting priorities, and independently work through issues so leaders can remain focused on strategic goals.
- Coordinate smoothly across executive offices, leadership groups, and key stakeholders.
Calendar and time management
- Manage highly complex calendars for four senior leaders across multiple time zones and both internal and external contacts.
- Prioritize meetings thoughtfully, clear scheduling conflicts, and align calendars with business objectives.
- Make sure executives are fully prepared for meetings with the right context, materials, and logistics.
Meetings, events, and communication logistics
- Arrange logistics for senior meetings, leadership forums, offsites, town halls, and external engagements.
- Assist with presentations, briefing documents, and communications for high-visibility and sensitive meetings, including crisis- or issues-related matters.
- Work closely with internal teams to deliver on tight deadlines and maintain alignment.
Travel and expense administration
- Handle complex domestic and international travel planning for multiple senior leaders.
- Prepare, review, and submit expense reports accurately, on time, and in line with policy.
- Resolve travel and expense changes or issues promptly as they arise.
Financial and vendor coordination
- Manage vendor processes such as onboarding, statements of work, invoice submissions, payment tracking, and coordination with internal CA&C teams.
- Use internal tools including Ariba, Concur, and related systems with confidence.
Operational and team support
- Support onboarding for new hires, including equipment requests, systems access, and coordination with Technology and Workplace Enablement teams.
- Arrange computers, office equipment, and supply orders.
- Contribute to ad hoc projects, operational initiatives, and process improvements across CA&C.
Confidentiality and professional judgment
- Protect sensitive and confidential information with a high level of discretion and professionalism.
- Use strong judgment when dealing with senior leaders, partners, and external contacts.
- Represent the executive offices and the CA&C team with integrity and polish.
Qualifications
- At least 5 years of progressive experience in executive-level administrative support, including support for multiple senior leaders.
- Proven ability to manage complexity and prioritize effectively in a fast-paced, matrixed environment.
- Strong working knowledge of internal tools and platforms such as Concur, Ariba, Outlook, WebEx, and the MS Office suite.
- Excellent written and spoken communication skills.
- Highly organized with excellent attention to detail and consistent follow-through.
- Ability to anticipate needs, solve problems independently, and work with limited direction.
- Strong integrity and a clear ability to maintain confidentiality.
- Comfort working with senior leadership, colleagues, and external business partners.
