About the organisation
Venues Ōtautahi manages several of Christchurch’s best-known venues, including Christchurch Town Hall, Wolfbrook Arena, Hagley Oval, the Air Force Museum of New Zealand, and One New Zealand Stadium.

About the role
This position goes well beyond a standard Executive Assistant role. As the Chief Executive’s trusted partner, you will help keep the executive office operating smoothly, stay ahead of upcoming needs, and ensure the organisation is supported at a high level.
You will handle shifting priorities with confidence, provide strong governance and executive support, and maintain effective relationships with both internal teams and external stakeholders. The role suits someone who performs well in a busy environment, enjoys solving problems, and takes pride in delivering excellent work.
Key responsibilities
The role includes the following core duties:
- Delivering senior-level support to the Chief Executive, including managing complex diaries, meetings, and travel arrangements.
- Preparing Board and executive material such as documents, reports, presentations, and correspondence to a consistently high standard.
- Handling confidential and sensitive matters with good judgement and discretion.
- Overseeing executive communications and building productive relationships with internal and external stakeholders.
- Refining systems and workflows to improve efficiency within the executive office.
- Assisting with strategic projects and working across the organisation to help achieve successful outcomes.
About you
You will be an experienced Executive Assistant who is comfortable working at pace, remains composed under pressure, and naturally thinks ahead.
The ideal candidate will bring strong organisational ability, excellent communication skills, and a high level of professionalism when dealing with confidential information. You should be confident interacting with people at all levels, able to build strong working relationships, and have a practical, solutions-oriented mindset.
A collaborative attitude and willingness to do what is needed to get the job done are also important.
