Role overview

The Orlando team is looking for an Executive Assistant to provide high-level administrative support to the CEO, senior leaders, and Board members, including stakeholders based in other locations. In this role, you will work closely with company leadership and cross-functional teams such as Marketing, People Ops, Finance, IT, and Legal to keep priorities organized and operations moving smoothly.

Key responsibilities

  • Coordinate and maintain complex executive calendars, including meetings, travel, and scheduling changes, to support leadership priorities and timely execution of strategic goals.
  • Run the rhythm and logistics of weekly recurring executive meetings, making sure updates and preparation details are shared in advance.
  • Handle planning for quarterly in-person Board meetings, including travel and lodging for directors, venue and room setup, meals, and transportation.
  • Support planning and coordination for company events and external conferences attended by leadership, both within the U.S. and internationally.
  • Monitor executive expenses, gather Board meeting expenses, and prepare reimbursement submissions.
  • Assist with travel between offices by supporting policy compliance, reservations, and travel visibility.
  • Own or support special projects that may require coordination across teams and offices, along with independent judgment and initiative.
  • Draft clear, concise, and accurate communications for executive, Board, and company-wide audiences.
  • Evaluate incoming matters, prioritize urgency, and determine the right next steps.
  • Maintain professionalism, discretion, and a calm, approachable attitude when working with others.
  • Help foster a positive, cooperative team culture built on trust and mutual respect.

Requirements

  • Bachelor’s degree, or a comparable mix of education and relevant experience.
  • At least 5 years of experience in administrative support, including 3 or more years supporting executives.
  • Strong ownership, responsiveness, adaptability, and the ability to anticipate needs and follow through consistently.
  • Excellent project management and time management skills with the ability to meet deadlines and handle multiple priorities.
  • Strong organizational ability, careful attention to detail, and effective collaborative problem-solving skills.
  • Comfort managing a large volume of detailed work accurately and efficiently.
  • Proven ability to manage sensitive and confidential matters with tact and professionalism.
  • Strong spoken and written communication skills.
  • Modern computer proficiency with advanced experience in Microsoft Office.
  • SAP Concur experience is an added advantage.

Work arrangement and eligibility

This position offers a flexible work schedule that may include a hybrid mix of onsite and remote work, depending on team and business needs. Work schedules are set by management based on role requirements and business priorities. Candidates must live within commuting distance of MicroVision’s Orlando, FL office.
