About the Role
WD is looking for a highly organized and proactive Executive Assistant to support two Vice Presidents in the Human Resources function: the VP of Talent Acquisition and the VP of Talent Development & Inclusion. This position plays a central role in keeping executive operations running smoothly, managing complex calendars, coordinating communication, and working across internal teams and outside partners.
The right candidate will work closely with senior leaders while handling confidential matters with care and professionalism. Success in this role requires the ability to stay ahead of needs, balance shifting priorities, and operate effectively in a fast-moving global environment. The position also includes support for strategic HR initiatives, high-level meetings, events, travel planning, and preparation of briefing materials.
This role calls for strong initiative, excellent communication, and flexibility with working hours due to the global nature of the business.
Responsibilities
- Keep executive calendars organized, resolve overlaps ahead of time, and make sure priorities are scheduled appropriately.
- Arrange internal and external meetings, including offsites, leadership gatherings, and international site visits.
- Act as the initial contact for messages and requests directed to the Vice Presidents, sorting and directing routine items as needed.
- Represent executive communications and approvals when appropriate, ensuring messages stay accurate and aligned with leadership direction.
- Process expense reports, Statements of Work, and Purchase Orders while becoming proficient in internal platforms such as Microsoft 365, SharePoint, and related enterprise tools.
- Draft and maintain briefing notes and meeting packets for business travel, discussions, and strategic work.
- Coordinate travel end to end, including itinerary planning and handling any travel disruptions.
- Work with HR colleagues and executives on special assignments and strategic programs.
- Develop professional relationships and networks that support growth, collaboration, and effective teamwork.
Requirements
- Prior experience supporting one or more Vice Presidents or senior leaders in a large publicly traded organization.
- Strong working knowledge of Microsoft 365 tools, including Outlook, Word, Excel, PowerPoint, OneDrive, and SharePoint.
- Excellent organization skills and the ability to manage several priorities at the same time.
- Comfort working independently with limited oversight and making sound decisions.
- High standards of integrity, confidentiality, and professional conduct when handling sensitive information.
- Strong written and verbal communication skills with the confidence to interact at all levels of the business.
- Good time management and the ability to stay effective under pressure.
- Collaborative mindset with experience working across teams and regions.
- Preferred experience includes supporting HR or People teams in a global technology company, using AI productivity tools such as Microsoft Copilot, and mentoring other administrative professionals.
