Role overview
The Construction Site Storekeeper / Site Administrator is responsible for safeguarding all materials, tools, records, and attendance information on site for Infinite Rwanda projects. The role is central to keeping stock records accurate, the store well organised, and administration running smoothly. By carefully managing receipts and issues, keeping ERP data current, and arranging deliveries when needed, this position helps avoid shortages and unnecessary cost increases. In parallel, the role oversees workforce attendance, site access, petty cash, and meeting coordination to support a secure, efficient, and well-documented project environment.
Key responsibilities
- Accept incoming deliveries, check quantities and item specifications against purchase orders, prepare Goods-Received Notes (GRNs), and record everything in the ERP system on the same day.
- Arrange materials in a safe and orderly way, using clear labels, proper separation by category, and FIFO / 5S housekeeping practices.
- Track and record all daily issues and returns of materials, consumables, tools, and plant, ensuring the right requisition approvals are in place.
- Keep a close watch on inventory levels and raise replenishment requests early enough to prevent stock-outs.
- Maintain a clean and secure store, display safety notices, keep Material Safety Data Sheets (MSDS) available, and use lock-and-key or RFID controls for valuable items.
- Carry out weekly and monthly stock counts, investigate and reconcile differences, and share variance reports with Finance and Procurement.
- Maintain and review the register for tools, equipment, and Personal Protective Equipment (PPE), including calibration and replacement timelines.
- Capture daily workforce attendance through digital check-in tools and prepare timesheets for payroll.
- Manage access for staff, subcontractors, visitors, and suppliers, issue visitor badges, and confirm safety inductions are completed.
- Handle site office administration, including filing, correspondence, petty cash payments, and stationery stock control.
- Organise meetings such as toolbox talks and progress reviews, prepare agendas, and circulate accurate minutes within 24 hours.
- Prepare daily and weekly summary reports on stock movement, usage trends, and attendance for site management.
- Assist Procurement by tracking supplier lead times, following up on late deliveries, and updating delivery schedules.
- Support HSE activities by keeping PPE issue records updated and ensuring safety documents are displayed where required.
- Provide administrative assistance during audits, inspections, and reporting activities.
- Recommend and help implement improvements such as barcode or RFID tagging, mobile stock tools, and better 5S layouts to improve efficiency and accuracy.
Typical day-to-day work
- Receive planned material deliveries and confirm them against order details.
- Update inventory records and register items issued from store.
- Record worker attendance and summarise check-ins.
- Support site engineers with scanning, filing, and document updates.
- Monitor material consumption and flag low-stock items.
- Keep the store and surrounding work area clean and organised.
- Compile and submit daily inventory and attendance updates.
Working conditions
This is a full-time, on-site role based at the construction store and nearby site office. The work environment may include outdoor exposure, areas where heavy lifting takes place, and changing weather conditions. PPE such as a helmet, safety shoes, a high-visibility vest, and gloves is compulsory. The role follows a standard workweek, but may require extra hours or weekend work to receive urgent deliveries or complete month-end stock counts.
Reporting and collaboration
- Reports to the Materials & Logistics Coordinator at site level, with a dotted reporting line to the Site Manager or Site Engineer.
- Works closely with the Site Foreman, Procurement Team, subcontractors, labourers, and the Safety Officer.

Qualifications and experience
A diploma in Supply Chain, Logistics, Business Administration, or a related discipline is preferred. Candidates should have at least 3 years of experience in construction site stores or inventory control, including a minimum of 1 year in an administrative role. Training or certification in inventory management, such as CIPS Level 3 or APICS CPIM, will be an advantage. Strong ability with ERP or inventory systems and advanced spreadsheets is expected. Knowledge of ISO 9001 quality procedures and basic ISO 45001 safety requirements is also required.
