The position works closely with Sales, Motor Finance, Service and Administration teams to ensure guests are welcomed properly, directed to the right department and supported throughout their visit. Role Summary

Reporting to the Financial Controller, the Welcome Advisor manages the front-of-house experience and helps ensure every interaction reflects Kylemore Cars’ standards. The role includes greeting customers, handling reception duties, answering calls, supporting administration across departments and keeping the showroom reception running efficiently during the day.

Because this is often the first contact customers have with the business, the role plays an important part in shaping the customer journey and upholding the company’s service reputation.

Key Responsibilities

Customer Experience

Welcome visitors in a courteous, engaging and professional way, creating a strong first impression that reflects the brand’s values. Identify customer needs and connect them with the right Sales Executive or department. Acknowledge visitors promptly, keep them updated while they wait and help with general queries in person or over the phone.

Reception and Communication

Manage the main phone line efficiently, ensure calls are routed correctly and pass on messages accurately for follow-up. Handle visitor arrivals, appointments and reception enquiries, while also supporting communication between Sales, Service, Motor Finance, Accounts and Administration. Respond to customer emails and other general reception queries in a professional manner.

Administration

Keep customer information accurate in the CRM and other internal systems. Assist with customer review administration and online reputation tasks, help with change-of-ownership paperwork and other customer admin, oversee the spare key process, maintain reception logs and visitor records, track daily footfall and manage reception/office consumables. Provide wider administrative support when needed.

Showroom Standards

Keep the reception area and customer waiting spaces neat, welcoming and maintained to a high standard. Help preserve the overall professional appearance of the showroom and ensure brochures, promotional materials and customer information are displayed properly.

Team Support

Work well with colleagues across all departments, assist on internal projects and administrative tasks, and support the business during busy periods and company events. Carry out other duties suited to the role as required.

Qualifications

A Leaving Certificate or an equivalent qualification is required. Additional study in Business Administration, Customer Service or Hospitality would be an advantage.

Experience and Skills

The ideal candidate should have prior experience in reception, customer service, hospitality or administration. You should bring strong communication and interpersonal skills, a professional and approachable manner, and a genuine commitment to customer care. The role also calls for good organisation, time management, attention to detail and the ability to prioritise tasks in a busy environment.

Strong IT and administration skills are important, including confidence with Microsoft Office and the ability to pick up new CRM or business systems quickly. Excellent spoken and written English, the ability to work both independently and as part of a team, and a flexible, positive attitude are all essential. Experience in the motor industry would be helpful but is not required, as training will be provided.
