The team

You will join a compact Global Mobility team where each person can make a real difference. Travel operations are currently handled by one team member, and the wider group works together across travel, visas, immigration, policy, and process improvements to support global events.

Role overview

This position is responsible for managing travel operations across BLAST’s global events. The role combines logistics coordination, supplier management, budget control, process development, and stakeholder support, with a strong focus on efficiency, traveller experience, and operational quality.

Responsibilities

  • Run worldwide travel operations for BLAST events in a way that is efficient, scalable, and cost-conscious.
  • Organise complicated travel arrangements for players, staff, officials, and other stakeholders across multiple event locations.
  • Serve as the main contact for flight planning, route decisions, rebookings, cancellations, and urgent travel issues.
  • Manage the relationship with travel management providers and push for better service, stronger performance, and improved systems.
  • Handle travel coordination across countries, time zones, and events while staying aligned with internal rules and operational needs.
  • Create, improve, and maintain travel processes, policies, and workflows to increase efficiency, control costs, and improve the traveller journey.
  • Keep travel data accurate, produce reporting, and support system improvements and automation using tools such as Smartsheet and Melon.
  • Oversee travel budgets for events, including forecasting, cost management, and booking strategies that support operational goals.
  • Work with Finance, Events, Global Mobility, and other internal teams on event planning, visa needs, and travel delivery.
  • Act as the in-house travel expert by advising, training, and supporting internal teams and stakeholders.
  • Spot travel risks early and build contingency plans for complex situations.
  • Attend major events when needed to provide on-site support and manage high-volume changes and rebookings.
  • Manage the travel inbox, respond to queries, handle flight-booking administration, and route unrelated questions to the right teams.
  • Support the wider BLAST Events and Global Mobility teams with additional tasks as needed.

Requirements

  • Previous administrative experience, preferably within travel or events.
  • Strong attention to detail and accuracy.
  • Comfort using online travel booking tools and spreadsheets.
  • Good communication, interpersonal, and customer service abilities.
  • Confidence working under pressure and solving problems effectively.
  • Sound financial awareness, including budget management and cost control.
