About the Role
Chaumet is hiring a Supply and Logistics Administrator for its Middle East regional office in Dubai. This is a permanent position within a luxury Maison known for Parisian jewellery craftsmanship and its long heritage dating back to 1780. The role reports to the Head of Supply and Logistics - Middle East and supports the smooth, efficient, and cost-conscious movement of goods across the supply chain.
The selected candidate will help strengthen logistics operations through careful data handling, customs follow-up, reporting, and day-to-day administrative support. The position suits someone who is organised, hands-on, and comfortable working in a fast-paced, cross-functional environment.
Key Responsibilities
Data management and system operations
- Record logistics activities accurately and on time, including shipments, stock transfers, and vendor details, while keeping information consistent across systems.
- Carry out inventory and stock movement tasks in the system, including tracking and reconciliation using logistics and ERP tools.
- Keep inventory and logistics records current and aligned with internal procedures and external compliance requirements.
- Oversee packaging forecasting and replenishment to help maintain stock availability and reduce shortages.
Customs and shipment coordination
- Serve as the main contact for customs follow-up on inbound and outbound shipments, helping ensure timely clearance and regulatory compliance.
- Organise and maintain the documents needed for customs declarations, import/export permits, and other shipping-related paperwork.
- Work closely with customs brokers, freight forwarders, and third-party logistics partners to resolve issues and improve shipment flow.
Reporting and data analysis
- Create, update, and improve logistics reports and dashboards that track KPIs such as delivery timelines, cost, and inventory accuracy.
- Use Microsoft Excel at an advanced level, including pivot tables and preferably macros, to examine complex logistics data and build useful insights.
- Share clear, concise reporting with the Head of Supply and Logistics - Middle East, including trends, exceptions, and recommendations for improvement.
Administrative and operational support
- Support the Distribution Planner and Logistics Specialist with administrative tasks that help daily operations run smoothly.
- Track and follow up on the supply of critical items.
- Assist with the planning and execution of seasonal and campaign logistics so products are delivered on time.
- Help identify ways to improve logistics and supply chain processes, increase efficiency, and reduce operating costs.
Profile
The ideal candidate holds a bachelor’s degree in Supply Chain Management, Logistics, Industrial Engineering, Business Administration, Finance, or a related discipline. They should bring 2 to 3 years of progressive experience in logistics administration, coordination, or a similar supply chain function, ideally gained in luxury retail or a comparable environment.
Strong Excel capability is essential, including advanced functions and pivot tables, with macro experience considered an advantage for automation and reporting. The role also requires excellent accuracy in data entry, a solid grasp of customs processes, import/export rules, and international shipping documents, plus familiarity with inventory management and logistics or ERP systems.
Success in this role also depends on strong communication, interpersonal, and organisational skills, along with the ability to work independently, manage priorities, meet deadlines, and collaborate effectively with different stakeholders in a busy setting.
