Job Summary
This position is responsible for keeping procurement running smoothly and on time. The coordinator will handle requisitions, liaise with suppliers, raise and track purchase orders, monitor deliveries, and keep procurement records accurate in line with company procedures.
Main Responsibilities
- Review and process material requisitions for engineering long-lead items.
- Handle requisitions related to K20 shortage lists.
- Process material requests from production and other internal teams.
- Reach out to local suppliers and obtain quotations.
- Create purchase orders in M3 according to company policy.
- Ensure approved purchase orders are issued to vendors and acknowledgments are received.
- Track vendor deliveries and follow up to ensure materials arrive on time.
- Keep databases updated and maintain accurate records in M3 and other systems.
- Raise SIRs and coordinate follow-up with QA/QC teams and suppliers.
- Submit payment requests through SharePoint, route them for approval, and follow up as needed.
- Work with the local purchaser to coordinate delivery of locally sourced goods.
- Carry out other tasks assigned by the supervisor or manager.
HSE Responsibilities
- Comply with all Quality, Health, Safety, and Environmental policies, procedures, and legal requirements.
- Report unsafe conditions, incidents, and near misses promptly to the relevant supervisor or QHSE team.
- Participate in required safety inductions, HSE training, safety meetings, emergency drills, and root cause investigations.
- Follow emergency response procedures, including evacuation, fire response, and first aid where trained.
- Apply environmental controls such as correct waste disposal and reporting of spills or leaks.
- Contribute ideas to improve quality, health, safety, and environmental practices and support continuous improvement.
Qualifications
A Bachelor’s degree or diploma in Business Management, or an equivalent qualification, is required.
Skills and Experience
- Strong verbal and written communication abilities.
- Working familiarity with parts and technical product terminology.
- Understanding of procurement processes and technical language.
- Hands-on ability to work with ERP and MRP systems.
- Comfort using Excel and maintaining databases accurately.
- Negotiation skills.
- At least 3 years of relevant experience, including a minimum of 2 years in a coordinator or administrator role within procurement.
