The role
This is a practical, varied Operations & Supply Chain Assistant position for someone who is organised, proactive and highly attentive to detail. The job covers the full supply chain flow rather than only one part of it, and you will support a range of suppliers, customer orders and operational tasks from start to finish.
You will work closely with the Head of Operations & Supply Chain, the Supply Chain Planning & Operations Lead and the Operations & Supply Chain Coordinator, along with colleagues in Sales, Finance, Ecommerce and Customer Service. The role is suited to someone who enjoys working with data, systems and people, and who wants to develop a broad career in operations and supply chain. Structured training will be provided, with increasing responsibility over time.
Sales orders and customer operations
- Handle customer orders accurately from the point of receipt through to final delivery.
- Track inventory availability, back orders, order changes and customer-specific requirements.
- Arrange delivery bookings, supporting paperwork and order status updates.
- Help resolve delivery problems, shortages, returns and claims.
- Keep customer details and delivery instructions up to date and accurate.
Supplier and inbound operations
- Create and maintain purchase orders for a defined supplier group.
- Monitor production schedules and delivery timings, escalating risks such as delays or shortages.
- Coordinate incoming deliveries and assist with discrepancies when goods are received.
- Process stock transfers, reworks and other routine warehouse tasks.
- Maintain reliable records for suppliers and inbound stock movements.
Inventory and replenishment
- Support stock replenishment across customers, channels and sites.
- Keep stock, batch and expiry information accurate.
- Assist with reporting on short-dated, damaged and faulty stock.
- Support stock counts, reconciliations and inventory investigations.
Reporting and wider team support
- Maintain operational trackers, systems and supporting records.
- Prepare data for weekly reviews and KPI reporting.
- Provide backup support across both inbound and outbound activity.
- Assist with product launches, peak trading periods and wider supply chain initiatives.
About you
The company is open to applicants with some experience in supply chain, operations, order management, logistics, purchasing or customer operations, as well as candidates with transferable skills who want to grow in the area.
Skills and experience expected
- Excellent organisation and strong attention to detail.
- Comfort working with numbers, spreadsheets and business systems.
- Clear written and spoken communication skills.
- Ability to juggle multiple priorities and work to deadlines.
- Proactive working style with a commitment to completing tasks properly.
- Confidence to raise questions and flag risks when needed.
- Collaborative, hands-on and practical approach to work.
- Hands-on experience with Microsoft Excel and business software.
Experience in consumer goods, beauty, retail, ecommerce, manufacturing, warehousing or wholesale would be useful, though it is not essential.
Location and working pattern
The role is based at the company’s Trichological Clinic in Mayfair, with the office located close to Regent Street where the PKP division is situated. This is a full-time position with a predominantly office-based arrangement: 2 days per week in the office, and the other 3 days either working from home or from the office.
