This position supports a workforce of more than 56,000 teammates across North Carolina and requires onsite presence at least one day per week.

What the role covers

The specialist will manage critical onboarding steps such as background screening, drug testing, I-9 verification, and Employee Health clearance. The position also serves as a main contact for candidates who need help with onboarding requirements, system access, or status updates.

Key responsibilities

  • Launch and track background checks and drug screening for new hires, while keeping candidates informed about steps, timing, and follow-up actions.
  • Coordinate with external vendors to solve issues and help screenings finish without unnecessary delays.
  • Review employment eligibility documents and confirm I-9 compliance with federal rules.
  • Follow up with candidates so I-9 requirements are completed on time and record information accurately in HR systems for audit purposes.
  • Manage Employee Health clearance by explaining requirements, monitoring completion, and working with the Employee Health team to resolve problems.
  • Act as the first contact for onboarding questions, including login problems and password resets, and provide clear updates throughout the process.
  • Respond to onboarding cases through ServiceNow or similar systems and resolve operational issues quickly for candidates and hiring managers.
  • Partner with HR Service Delivery, Talent Acquisition, Data Management, and Employee Health to keep the onboarding workflow efficient and coordinated.
  • Run onboarding reports, review outstanding items, and analyze data to spot trends and recommend process improvements.
  • Deliver a professional, responsive, and customer-centered candidate experience with strong listening and empathy.
  • Identify workflow gaps, work with peers and leaders on improvements, and take part in projects that strengthen efficiency and teammate experience.
  • Create and maintain SOPs, training resources, and reference materials for HR team members.
  • Handle sensitive employee information carefully and follow confidentiality and data security requirements.

Required background and qualifications

  • Associate’s degree, or an equivalent combination of education and experience.
  • No experience required if an Associate’s degree is held.
  • If the candidate has a high school diploma or GED, 4 years of relevant experience is required.
  • Strong organizational ability with excellent attention to detail and a process-focused mindset.
  • Clear communication and strong interpersonal skills.
  • Comfort using Excel, including VLOOKUPs to retrieve data.
  • Ability to protect confidential information and use discretion and good judgment.
  • Capacity to manage workload and deliver results with limited supervision.
