Role Overview
An opening is available for an Office Administrator at the Dublin office, reporting to the Commercial Director. The position is responsible for handling the company’s daily administrative workload and supporting both internal operations and commercial activity. The employer can offer flexible working arrangements, including part-time hours and compressed schedules, depending on the candidate’s needs.
The successful candidate must be based within the Dublin or Leinster region.
Key Responsibilities
- Handle routine office administration, including answering and routing calls, replying to emails, and drafting documents such as correspondence, memos, CVs, and presentations.
- Organise meetings, appointments, and conference room bookings to avoid scheduling conflicts.
- Monitor office stock and replenish supplies when required.
- Coordinate travel plans and itineraries for managers and senior staff.
- Assist the sales team with quotation creation, price list maintenance, and sales reporting.
- Support tender preparation and the submission process.
- Maintain service reports and update the monthly central spreadsheet.
- Provide administrative assistance for internal projects and other business initiatives.
- Carry out additional ad hoc administrative and sales support tasks as needed.
Requirements
- Minimum of two years’ experience in a comparable administrative position.
- Excellent written and verbal communication abilities.
- Strong accuracy and attention to detail.
- High computer proficiency, particularly with MS Office applications.
- Well-developed organisational and time management capabilities.
- Ability to juggle multiple priorities and work efficiently under changing demands.
- Flexibility to adapt in a fast-moving, growth-oriented environment.
- Third-level education or an equivalent qualification is preferred; extra training or certification in office administration or healthcare administration would be an advantage.
