Role Overview
As a Field Engineer Scheduling Specialist, you will help ensure the efficient rollout of video telematics solutions across projects in the UK and Ireland. The position is based on site at the Waterford office at ArcLabs Research & Innovations Centre, SETU West Campus, Carriganore, Waterford.
Your work will include organising field resources, managing supplier coordination, handling completion administration, processing charges, raising purchase orders, and keeping communication flowing between internal teams, customers, and field engineers so service delivery stays on track.
Key Responsibilities
- Plan and allocate field engineers for installations, maintenance appointments, and service work so resources are used effectively and projects are delivered successfully.
- Serve as a main contact for customers by booking visits, sharing progress updates, resolving scheduling conflicts, and helping create a positive service experience.
- Develop productive working relationships with suppliers, customers, and colleagues to support timely delivery of equipment, services, and projects.
- Share clear job information and customer requirements with field engineers and confirm that work has been completed properly.
- Work closely with customer support, sales, technical, and operational teams to keep service delivery smooth and address issues quickly.
- Prepare completion paperwork, keep operational records accurate, process charges, and create purchase orders according to company procedures.
- Look for ways to improve scheduling processes, operational efficiency, and the customer journey.
- Keep up to date with sector changes, best practices, and relevant regulatory obligations.
- Support the wider team with other tasks and projects as needed.
Requirements
- Prior experience in scheduling, resource planning, project coordination, or a similar operations-focused role, preferably in technology, engineering, or service delivery.
- Strong organisation skills and excellent attention to detail, with the ability to juggle several priorities at once.
- Clear communication and strong people skills, along with a polished and customer-first approach.
- Confidence in building relationships with customers, suppliers, engineers, and internal stakeholders across different levels.
- Good working knowledge of Microsoft Office, especially Excel and Outlook, plus exposure to scheduling or workforce management tools.
- A proactive approach to problem-solving and the ability to stay composed and adapt quickly in a busy environment.
- Useful knowledge of UK and Ireland geography.
- PRINCE2 or another project management qualification would be helpful, though it is not required.
