About the Organization

The Josh Gibson Foundation is a Pittsburgh nonprofit dedicated to carrying forward the legacy of Negro League Baseball icon Josh Gibson. Through advocacy, education, and sports, the organization uses his story, the history of Negro League Baseball, and the experiences of local community leaders to encourage young people and emerging adults to contribute to their communities and work toward their goals.

Role Overview

The Executive Assistant will deliver broad administrative support to the Executive Director. The position involves calendar management, meeting coordination, drafting communications, organizing travel, and serving as a key contact for stakeholders. The role also provides support to the Board of Directors and organizational initiatives.

  • Set up meetings, prepare agendas, and capture minutes.
  • Create, revise, and handle correspondence, reports, and presentation materials.
  • Coordinate travel arrangements, lodging, and related logistics.
  • Act as a main contact for both internal and external stakeholders while representing the Foundation professionally.
  • Safeguard confidential documents, files, and records.
  • Carry out research and assemble information or data when requested.
  • Assist with Board of Directors meetings and support broader organizational projects.
  • Provide supervision or administrative help to clerical staff when needed.

Required Qualifications

  • Strong written and spoken communication skills.
  • Well-developed planning, organization, and time-management abilities.
  • Comfort using common office tools such as Microsoft Office 365, Google Workspace, and video meeting platforms.
  • Ability to prioritize multiple tasks and meet overlapping deadlines.
  • Experience or familiarity working with racially and economically diverse communities.
  • Capable of working both independently and collaboratively.
  • Strong personal time-management discipline.

Work Arrangement and Additional Details

This is a part-time role at roughly 20 hours per week to start, with the possibility of expanding to as many as 40 hours per week later. The work can be performed largely remotely, though some in-person attendance will be required for meetings and tasks in the Greater Pittsburgh, Pennsylvania area. Candidates must have their own local transportation for on-site work and must use a personal computer and smartphone for job-related tasks, as the Foundation does not currently supply electronic devices.

The organization is an equal opportunity employer and does not discriminate on the basis of race, color, age, religion, sex, national origin, sexual orientation, gender identity, disability, protected veteran status, or any other legally protected category.
