About the Organization
Peterborough Family Health Team (PFHT) is a collaborative primary care network that partners with family physicians and community organizations to deliver comprehensive, team-based care to people in Peterborough and Peterborough County. Its interdisciplinary staff operates across several clinical locations and focuses on clinical quality, innovation, digital health, and safeguarding the privacy and security of health information.
Role Summary
The Executive Assistant reports to the Chief Executive Officer and provides priority-based administrative support to the CEO, senior leadership, and the Board of Directors. This role is central to keeping the Executive Office organized, responsive, and running smoothly.
Key Duties
The position includes calendar management, meeting coordination, travel arrangements, correspondence preparation, and handling sensitive communications with a high level of professionalism. The Executive Assistant also supports board and leadership meetings, maintains governance materials, assists with minutes and action tracking, and helps onboard new Board members.
In addition, the role supports organizational projects, strategic initiatives, corporate events, and special assignments. It also involves research, reporting support, basic financial administration, facilities coordination for the 185 King Street office, electronic records management, process improvement, and backup support to the Administrative Team during busy periods or absences.
Qualifications
Applicants should have at least three years of experience in an executive office setting, with proven ability in word processing, minute taking, public liaison, message handling, and drafting policies and procedures. Board governance experience is also required.
Strong computer skills are needed, including Windows and Microsoft 365 applications such as Word, Excel, and PowerPoint, along with email and internet research. The ideal candidate will also bring solid planning, organizing, problem-solving, research, analysis, written and verbal communication, and conflict-resolution skills. Post-secondary education in a related area, such as business administration, is preferred, and prior health care experience is an asset.
Additional Information
This is a permanent full-time role of 37.5 hours per week. Working hours are Monday to Friday, with occasional evening work as required. The expected start date is August 24, 2026, and the application deadline is July 15, 2026. The annual salary range is $54,318 to $61,149 based on a full-time equivalent.
