Role Summary
Prima Luxury is looking for an Executive Assistant to deliver senior-level administrative and coordination support in a full-time remote setup. The position plays a key role in helping leadership stay organized, communicate effectively, and keep priorities on track.
Key Responsibilities
- Oversee executive schedules, appointments, and meeting arrangements.
- Handle travel planning, itineraries, and expense documentation.
- Prepare meeting agendas, capture notes, and track follow-up actions.
- Write, edit, and manage professional emails, reports, and business correspondence.
- Develop polished presentations for both internal and external use.
- Research topics online and turn findings into clear summaries and reports.
- Keep digital records, files, and documents well organized and accessible.
- Coordinate communication with teams, clients, and outside partners.
- Assist with project coordination by monitoring deadlines and completion status.
- Look for ways to streamline administrative work using automation and AI-based tools.
Requirements
- Prior experience supporting senior leaders in an Executive Assistant, Personal Assistant, or Administrative Assistant capacity.
- Advanced working knowledge of Microsoft Word, Excel, PowerPoint, and Outlook.
- Ability to create professional presentations with strong written and visual quality.
- Familiarity with AI-powered productivity tools such as Claude, ChatGPT, and similar platforms.
- Capable of using AI tools for drafting, research, summarization, automation, and productivity enhancement.
- Strong written and spoken communication skills.
- Excellent organization, time management, and attention to detail.
- High level of discretion when handling sensitive and confidential information.
- Good analytical and problem-solving ability with the capacity to work independently.
- Comfortable managing competing priorities in a dynamic, fast-moving environment.
