Role overview
This full-time Executive Assistant position is based in New York City and follows a hybrid schedule of four days in the office and one day working remotely. The role supports a senior leadership team at an investment- and infrastructure-oriented organization and offers significant exposure to high-level business activity.
You will provide direct support to as many as 4 to 5 executives at the same time, including the CFO, the Head of Strategy, and a senior Talent Acquisition leader who works closely with private equity teams during active acquisitions. The environment is fast-moving, highly transactional, and requires strong judgment, accuracy, and absolute discretion.
The organization is looking for someone with prior experience assisting senior leaders in finance, private equity, investment, infrastructure, or similarly complex corporate settings, and who can adapt quickly to changing priorities.
Key responsibilities
- Oversee demanding calendars for multiple executives across several time zones, adjusting schedules as priorities shift.
- Arrange domestic and international travel, including detailed itineraries and logistics.
- Draft, file, and reconcile expense reports with speed and accuracy.
- Plan and coordinate important internal and external meetings, including board-level and investor-facing sessions.
- Support the preparation of meeting materials, agendas, and presentation documents.
- Act as a primary point of contact and buffer between executives and both internal teams and outside partners.
- Monitor action items and ensure follow-through on deliverables and deadlines.
- Assist with scheduling and coordination related to acquisitions, working with private equity partners and external advisors.
- Handle sensitive financial and strategic information with strict confidentiality.
- Work closely with other administrative staff to provide smooth and consistent support across the team.
Candidate profile
The ideal candidate brings at least 5 years of experience supporting senior executives, preferably in finance, private equity, infrastructure, or investment-related environments. They should be capable of managing support for multiple high-level leaders at once and staying organized under pressure.
Strong calendar management, excellent attention to detail, polished communication skills, and confident follow-through are essential. Proficiency with Microsoft Office and expense reporting tools is also required. The role suits someone who can work independently while contributing effectively as part of a collaborative team and who remains comfortable in a demanding, deal-focused setting.
Compensation and benefits
The base salary range for this opportunity is $105,000 to $115,000, depending on experience, and the package includes benefits.
Work arrangement
This is a hybrid role with 4 days on-site in New York City and 1 day remote each week.
