Role Overview
This is a remote opportunity based in South Africa for a highly organised and tech-savvy Operations Assistant supporting the owner of a growing ABA therapy company in the United States. The role is designed for someone who enjoys fast-moving environments, can work independently, and is comfortable taking ownership of projects while helping improve day-to-day business efficiency.
Working Arrangement
The position is fully remote and follows U.S. business hours, specifically 8:00 am to 5:00 pm EST.
Compensation
Pay will depend on experience, with a salary range of R20,000 to R25,000.
Key Responsibilities
- Offer direct administrative and operational assistance to the business owner.
- Review, refine, and maintain internal workflows, systems, and processes.
- Help coordinate projects from planning through implementation across the organisation.
- Spot process gaps or inefficiencies and suggest practical improvements.
- Support calendar management, task tracking, and operational planning.
- Prepare reports, dashboards, and internal business documents.
- Act as a communication link between teams and external stakeholders.
- Assist with software rollouts, automation initiatives, and process upgrades.
- Keep digital records, files, and operational data well organised.
- Gather research and background information to support decision-making.
- Monitor priorities and help ensure work is completed on schedule.
- Address operational issues quickly and work toward workable solutions in real time.
Required Profile
- Prior experience in operations, executive support, project coordination, or a closely related role.
- Strong comfort with technology and the ability to learn new platforms quickly.
- Good knowledge of productivity software, CRMs, project management tools, and general business systems.
- Excellent organisation and time management capabilities.
- Strong analytical thinking and problem-solving skills.
- Ability to work independently and make sensible decisions without constant supervision.
- Very high attention to detail and a proactive work style.
- Strong written and spoken English communication skills.
- Confidence in working closely with a business owner and handling confidential information responsibly.
- Ability to juggle multiple priorities in a busy, fast-paced environment.
Preferred Experience
Experience in healthcare, therapy, or medical-related businesses would be an advantage. Familiarity with automation tools such as Zapier, Make, AI tools, or other workflow automation platforms is preferred, along with experience using project management systems such as Asana, Monday.com, ClickUp, or similar. Experience creating SOPs and operational documentation is also beneficial.
