Role overview
Grizzly MEP is looking for a polished, highly organized Leadership Operations Coordinator to provide direct support to the CEO and senior leadership team. This position blends executive assistance, office administration, presentation building, meeting and travel coordination, and broader operational support. The right person will be detail-focused, proactive, adaptable, and comfortable juggling several priorities while communicating professionally with executives, staff, customers, suppliers, and outside partners. Key responsibilities
You will handle day-to-day executive coordination for the CEO, including calendar management, travel planning, and support with leadership activities. The role also involves preparing meetings, conferences, board sessions, and company events by organizing agendas, supporting materials, and follow-up actions. Confidential information must be handled carefully and discreetly at all times.
On the administrative side, you will assist with filing, signing and tracking legal documents, regulatory interactions, and general workflow management for leadership requests. You will also help maintain both electronic and physical records, coordinate signatures, and keep tasks moving in an organized way.
Office support will include working with property management on building access, new hire setup, and office needs, as well as ordering supplies for the office, breakroom, and copier areas. You will help coordinate onboarding logistics such as badges, workspace preparation, and access to the office.
A major part of the role is presentation and communication support. You will use Microsoft Word, Excel, PowerPoint, Teams, and Outlook to build executive presentations, reports, dashboards, spreadsheets, and leadership communication materials. You will create polished slide decks for executive and board meetings, maintain and review data in Excel, and support internal communication through Teams and Outlook.
Event coordination is also important. You will help plan conferences, offsite meetings, company gatherings, venue arrangements, catering, and associated travel. In addition, you may assist with employee engagement efforts and initiatives that strengthen company culture.
Qualifications
The preferred background for this role includes a bachelor’s degree and at least 3–5 years of experience in administration, operations, or business support. Strong proficiency in Microsoft Office, especially PowerPoint and Excel, is important. You should also bring excellent organization, communication, time management, and interpersonal skills, along with strong attention to detail, sound judgment, and the ability to manage multiple priorities. A proactive, solution-oriented approach and comfort working directly with senior leaders are also essential.
