Role Overview

This opening is for a Client Service Executive in Galway, County Galway, Ireland. The role is focused on supporting a client service team and ensuring smooth coordination across administration, client communication, compliance, and internal follow-up activities.

Key Responsibilities

  • Provide day-to-day administrative assistance to Directors, Associate Directors, and Senior Private Client Advisers.
  • Serve as the initial contact for clients and handle queries quickly and effectively.
  • Draft investment presentation materials and gather documents for client meetings.
  • Review the CRM system to make sure client records and supporting files are complete, accurate, and compliant before meetings.
  • Track action items after meetings, prepare meeting notes, and follow up until tasks are completed.
  • Maintain and update CRM data regularly, and prepare documents that satisfy legal data-management obligations for clients.
  • Coordinate client requests with internal teams to ensure operational and compliance requirements are met, acting as a main liaison across departments.
  • Support reporting activities and operational tasks with the wider team, while applying and communicating agreed working practices.
  • Work with Tax Advisers, Solicitors, Brokers, and Life Offices on behalf of clients.
  • Assist with planning and preparing client events and conferences, including on-site support and hospitality where needed, sometimes outside normal office hours.
  • Take part in cross-functional projects aimed at improving client service and help roll out new applications to the team.
  • Work with colleagues on the completion and follow-up of Investor Policy Statements.
  • Contribute to internal campaign workshops.
  • Follow the risk and compliance framework, policies, and procedures relevant to the role.

Requirements

  • At least 1 year of experience in an administrative role.
  • A degree or master’s qualification in a business- or finance-related field.
  • Strong working knowledge of MS Word, Excel, Outlook, and PowerPoint.
  • A flexible and constructive attitude.
  • Very strong attention to detail.
  • Ability to work well in a team environment.
  • Professional and confident telephone etiquette.
  • Good organisational ability.
  • Ability to manage and prioritise your own workload effectively.
