Role Overview
The Administrative Coordinator will support the smooth running of daily office activities at the Dubai location. This position combines reception duties with administrative, operational, and coordination responsibilities, helping maintain efficient office processes, organized documentation, and high standards of service.
Key Duties
- Manage routine office operations such as maintenance coordination, supplies, utilities, and general facility support.
- Guide and oversee support staff, including office assistants, drivers, and other administrative personnel, to ensure tasks are completed efficiently.
- Arrange employee and visitor travel, including flights, hotel stays, and visa-related processing.
- Handle company vehicle administration, such as fuel card tracking and registration renewals.
- Keep office assets and inventory records accurate and up to date, with proper supporting documentation.
- Work with procurement and finance teams on purchase requests, petty cash, and vendor payment follow-ups.
- Support local and international business travel planning for employees and VIP guests.
- Ensure all administrative work follows company procedures and UAE regulatory requirements.
- Protect the confidentiality of company records and employee-related information at all times.
- Welcome visitors professionally and courteously at the front desk.
- Respond to, filter, and route incoming phone calls and emails.
- Manage reception operations and keep visitor logs accurately maintained.
- Coordinate meeting room reservations and assist with meeting setup and arrangements.
- Keep the reception area tidy, organized, and ready for visitors.
Required Profile
The ideal candidate should hold a bachelor’s degree in Business Administration, Management, or a similar discipline, and bring 2 to 4 years of experience in administration or office management. Experience in a multinational or industrial environment is preferred. Strong written and spoken English, along with solid Microsoft Office skills, are essential.

This is a full-time, on-site role based in Dubai, United Arab Emirates. The position is focused on operational support, front desk handling, and coordination across internal departments, with a strong need for professionalism, organization, and discretion.
