Role Overview
NexGen Networks is looking for an Administrative Assistant in New York, United States to provide broad office and management support in a fast-moving environment. The position reports to Management and focuses on keeping day-to-day administrative work organized, accurate, and responsive to business needs.
Key Responsibilities
- Handle routine administrative and clerical tasks such as mailing, scanning, faxing, and photocopying for management.
- Keep both digital and physical filing systems organized and up to date.
- Receive, sort, and route incoming mail and other correspondence.
- Carry out data entry work and scan documents as needed.
- Support the team in addressing administrative issues and resolving routine problems.
- Run errands for office needs, including trips to the post office and office supply vendors.
- Respond to customer emails and phone calls about their questions and requests.
- Draft, edit, and format letters, reports, memos, emails, and other business documents.
- Plan and coordinate meetings, appointments, and travel arrangements for managers.
- Help improve workflow by identifying cost-saving opportunities and setting up reporting processes.
- Review office practices, recordkeeping methods, forms, layout, and resource needs to recommend and implement procedure updates.
- Support the development of administrative staff through information sharing, learning opportunities, and growth-focused exposure.
- Address administrative challenges by preparing reports, reviewing data, and helping identify practical solutions.
- Provide information and respond to questions or requests from internal and external stakeholders.
- Manage assigned administrative projects and help ensure operational tasks are completed on schedule.
- Keep professional knowledge current and contribute wherever needed to support the wider team.
Qualifications and Skills
- Strong written and verbal communication skills, especially for interacting with customers and managing expectations.
- Ability to handle a variety of implementation situations with professionalism and adaptability.
- Interest in learning the business and contributing to growth.
- Experience working with people from diverse cultural backgrounds.
- Highly self-motivated, flexible, and adaptable in a rapidly growing company.
- Ability to support customers in financial markets-related environments.
- Good reporting ability, administrative writing, and document handling skills.
- Working knowledge of Microsoft Office and general office software.
- Strong organization, process management, and information analysis skills.
- Problem-solving mindset with attention to professionalism and supply/inventory control.
Education
A bachelor’s degree in a related discipline is preferred.
