Role overview
The Infrastructure Sustainability Council (ISC) is seeking an Executive Assistant based in Melbourne to provide high-level administrative, coordination, and governance support. ISC is a member-based not-for-profit industry council and certified social enterprise focused on improving sustainability outcomes across infrastructure. Its work includes the third-party assured IS rating scheme, capability building through training, infrastructure innovation through advocacy and R&D, and member support through awards, events, working groups, and thought leadership.

Reporting and working relationships
This position reports to the Chief Executive Officer. It works closely with the Executive Director of Stakeholder Services, the Executive Director of Product Solutions, Board members, the Strategic Projects Lead, and the wider ISC team. The role also liaises with the Company Secretary and supports board-related interactions.
Key responsibilities
- Support the CEO by anticipating, organising, and preparing for meetings and other engagements.
- Manage the CEO’s calendar and email correspondence across multiple time zones, including scheduling meetings, appointments, and travel.
- Coordinate calendars for the Executive Directors of Product Solutions and Stakeholder Services, including follow-up on calls, emails, and meetings as needed.
- Act as a point of contact for executives, employees, the Board, and external stakeholders, ensuring timely and accurate information exchange.
- Carry out research on clients, individuals, organisations, and business topics.
- Assist in preparing presentations for the CEO.
- Help deliver employee initiatives, including the annual employee engagement survey and associated action plan.
- Support ad hoc projects and organisation-wide administrative work.
- Coordinate internal meetings such as weekly and monthly full-team meetings, including external speakers and ongoing improvements to meeting effectiveness.
- Handle general administration duties and step in for unplanned business needs when required.
Experience and knowledge required
Candidates should have prior experience in an Executive Assistant or Personal Assistant role and have worked with executives and boards. Experience with governance tasks such as board minutes, resolutions, action registers, and AGM preparation is important. Strong computer literacy is needed, especially in Microsoft Office, along with openness to learning new technologies. The role also requires excellent organisation, the ability to stay flexible in a fast-paced environment, strong interpersonal and customer service skills, and a work style that supports a healthy, collaborative team culture. The successful applicant must be able to work both independently and as part of a team.
Desirable background
A relevant qualification is preferred. Experience in a member-based association, not-for-profit organisation, or social enterprise would be an advantage.
