Role Overview
As a Customer Experience Specialist, you will act as the main contact for a defined portfolio of customer accounts. Your goal will be to make sure customer expectations are met with consistent, high-quality service while helping resolve a wide range of order and support issues.
This position involves handling inbound customer calls and emails about order status, delivery timelines, product concerns, order modifications, repair requests, and RMAs. You will also play a key role in the end-to-end order management cycle, including order entry, order acceleration, change processing, returns handling, tracking order progress, and fixing discrepancies.
You will work closely with teams across Technical Support, Logistics, Manufacturing, Regional Sales, and Product Management to resolve issues quickly and maintain a strong customer experience. In addition, you may support other customer service team members with administrative tasks when needed. The role is focused on helping the company remain a preferred partner by delivering excellent service, strengthening business understanding, and contributing to the resolution of complex customer problems.
Key Responsibilities
- Respond quickly to customer emails and handle requests related to quotes, purchase orders, order edits, order adjustments, and cancellations.
- Use SAP to look up and update customer records, stock information, purchase order status, and changes to customer orders.
- Build and maintain strong working relationships with other departments to improve the customer journey.
- Keep expanding product and operations knowledge for both existing and newly introduced offerings.
- Support a culture of ongoing improvement and efficiency.
- Follow established procedures and standard work to maintain a consistently high level of service.
- Take an active role in personal development and career progression.
- Apply structured problem-solving methods to investigate and resolve issues.
- Identify opportunities to improve support processes and drive improvements through to implementation.
Requirements
- High school diploma or GED is required.
- At least 1 year of professional experience in customer service, field service, technical support, or another fast-paced operational setting.
- Strong verbal and written English communication skills with the ability to interact clearly with customers, colleagues, and leaders.
- Strong interpersonal ability, including the skill to build trust quickly and maintain professional relationships across levels.
- Ability to spot issues early, prioritize work effectively, and take responsibility for follow-up actions.
- Solid analytical and problem-solving ability with experience resolving customer, service, or operational challenges efficiently.
- Excellent attention to detail and experience maintaining accurate records, reports, and service documentation.
- Ability to learn new systems, processes, and technical information quickly with limited supervision.
- Action-oriented mindset with a history of responding promptly to service needs and pushing issues to closure.
- Comfort working in a team setting while contributing to shared goals and cross-functional efforts.
- Continuous improvement mindset with examples of improving service quality, efficiency, or customer satisfaction.
