Role Summary
In this Team Assistant role, you will support the team with day-to-day coordination and administrative work to help ensure that operational goals are achieved. The position calls for strong organization, attention to detail, and the ability to manage a range of office and project-related tasks.
Responsibilities
- Keep records and databases accurate, current, and well maintained.
- Liaise with the Accounts team regarding supplier and contractor payments.
- Oversee contractor registration activities, including documentation control and record keeping.
- Enter and maintain new contractor details in SAP.
- Draft invoices and LPOs, and maintain summaries of orders for vendors and contractors.
- Coordinate team calendars, arrange meetings, and track leave schedules.
- Work with suppliers on stand construction orders and prepare related summaries when required.
- Compile daily action updates and share consolidated summaries with the team.
- Support on-site issue resolution by coordinating with contractors and service providers.
- Prepare and maintain reports, including tracking income related to late-night work charges.
- Provide broad administrative assistance wherever needed.
Requirements
- A university or college qualification in Management, Business Administration, Accounting, or a similar discipline.
- Strong ethical standards, with a clear focus on integrity, objectivity, and careful work practices.
- Well-organized, efficient, and highly attentive to detail, with solid analytical ability.
- Comfortable communicating with different stakeholders in a professional manner.
- Strong drive to perform well and contribute positively as a team member.
- Flexible, resilient, and able to stay effective in a fast-moving, high-pressure environment.
- Proficiency in SAP and Microsoft Office tools, especially advanced Excel.
- Good critical thinking and troubleshooting skills, with the ability to apply accounting principles to financial transactions.
- Excellent written and spoken English.
- Sound domain knowledge and a willingness to keep learning.
- Ability to assess issues logically and recommend workable solutions.
- Confidence, persistence, and the ability to make prompt decisions.
- Strong listening and communication skills, along with the ability to work well within a team.
