Role Summary

The Payroll & HRIS Coordinator will support payroll operations and HR administration to help keep processes accurate, timely, compliant, and well organized. This position contributes to a strong employee experience by safeguarding payroll precision, assisting with employee life cycle tasks, and keeping employee records accurate across internal systems.

The right candidate should be detail-oriented, comfortable handling payroll, and able to manage confidential information in a busy environment. The role works closely with employees, managers, Finance, and outside vendors in support of a global workforce and broader People Team goals. Candidates based in the Sarasota area will work in a hybrid setup with two in-office days per week; all others will work remotely.

Payroll Administration

  • Run payroll accurately and within deadlines for employees in multiple locations, including international payroll.
  • Check payroll inputs for correctness, such as time worked, deductions, bonuses, commissions, and benefit updates.
  • Help investigate payroll discrepancies and support audits and reconciliations.
  • Keep payroll documentation current and aligned with applicable federal, state/provincial, and local laws.
  • Work with payroll providers and internal teams to resolve payroll-related questions and issues.
  • Assist with year-end payroll tasks, including tax documentation and reporting.
  • Take on additional responsibilities as needed.

HRIS and HR Administration

  • Maintain employee records and updates within the HRIS platform.
  • Support onboarding and offboarding by preparing documents and making system changes.
  • Assist with benefits administration, including enrollments and employee changes.
  • Create HR and payroll reports when requested.
  • Keep employee files accurate, secure, and confidential.
  • Help maintain HR policies, procedures, and compliance documents.
  • Respond to employee questions related to payroll and HRIS matters.
  • Support HR projects and initiatives as assigned.

Requirements

  • 3 to 5 years of experience in payroll processing and HR administration.
  • Hands-on experience with HRIS and payroll software.
  • Solid understanding of payroll practices, wage regulations, and compliance standards.
  • Strong accuracy, organization, and follow-through.
  • Ability to manage sensitive and private information professionally.
  • Good communication skills and a customer-service mindset.
  • Comfortable using Microsoft Office, especially Excel.
  • Experience with multi-state or international payroll is a plus.

Preferred Qualifications

  • Payroll certification such as CPP, PCP, or an equivalent credential is an advantage.
  • Prior experience in a fast-moving or global organization is preferred.
